  • Anticipate meeting preparation needs by gathering background materials, maintaining context documents, and ensuring leaders have the right information, logistics, and follow-ups for each engagement.
  • Arrange and cross-check domestic and international travel through Concur, including flights, hotels, ground transportation, visas where required, and related logistics.
  • Process and track expenses, reimbursements, approvals, and administrative records with a high degree of accuracy and confidentiality.
  • Support team operations and culture moments, including internal meetings, huddles, visitor logistics, conference rooms, meal arrangements, materials, office supplies, and ad hoc projects.
  • Partner with administrative colleagues across Global Marketing & Digital Wealth and the broader firm to ensure strong coverage, collaboration, and consistency across regions and leadership priorities.

Core Skills:

  • Exceptional organization, prioritization, and time management skills, with the ability to track multiple tasks to completion across stakeholders and timelines.
  • Strong professional judgment, attention to detail, and ability to quickly adapt to changing priorities in a fast-paced environment.
  • High degree of discretion, integrity, and sound judgment when handling confidential information and engaging with senior stakeholders.
  • Proactive ownership mindset, positive can-do attitude, and willingness to take initiative, accept responsibility, and produce high-quality results with minimal guidance.
  • Strong interpersonal, communication, problem-solving, proofreading, and relationship-building skills across teams and levels.
  • Proficiency with Microsoft Office, Outlook, Word, Excel, PowerPoint, OneNote, Concur, online travel tools, and expense management systems.
  • Demonstrated use of AI tools with fluency and agility, showing adaptability, critical thinking, and the ability to learn in evolving environments.
  • Embodies an AI-ready mindset through curiosity, eagerness, and being an early adopter.

Qualifications:

  • 5+ years of corporate administrative experience in roles interfacing with executive management and internal or external stakeholders. 10+ years of experience preferred for senior executive support roles.
  • Experience supporting one or more senior leaders in a fast-paced corporate or financial services environment.
  • Experience managing complex calendars, meeting logistics, domestic and international travel, expense processing, and administrative systems.
  • Ability to work independently while seeking guidance when appropriate, managing concurrent assignments accurately and meeting deadlines.
  • Experience partnering with other administrative professionals to coordinate coverage, improve team operations, and support cross-region collaboration.
