FGS is seeking an organized and detail-oriented professional to join the firm’s Strategic Communications division and provide administrative support to one of the firm’s founding senior executives. This position will be based in our New York office.

RESPONSIBILITIES

  • Heavy administrative support for a founding member of the firm, including:
    • Managing all aspects of schedule
    • Preparing and submitting expense reports
    • Coordinating and booking travel
    • Filtering internal and external requests
    • Coordinating for internal and external meetings and events, including venue/room bookings, catering, tech support, agendas, note-taking, and coordination of materials
    • Proactively identifying and addressing any immediate concerns or obstacles to ensure workflow moves smoothly
    • Managing sensitive matters with a high level of confidentiality and discretion
    • Responding to requests outside of regular business hours as needed
  • Support executive in client work as needed, including:
    • Basic writing and research tasks (including emails, meeting agendas, messaging documents, etc.)
    • Preparing briefing documents, talking points, etc.
    • Assisting in prep for meetings/pitches

ATTRIBUTES

  • Bachelor's degree in a related field, plus 2-3 years of relevant experience
  • Experience in providing operations/administrative support in comparable settings, and/or in supporting executives or other equivalent leaders / principals
  • Proficiency in AI tools/experience integrating AI into admin and operations workflows is a bonus
  • Experience in communications field, particularly media, preferred
  • Strong time management and organizational skills and the ability to manage and coordinate multiple projects at once with little direction
  • Experience booking travel and related accommodations, planning itineraries, and thinking creatively to maximize time and efficiency
  • Strong writing and research skills
  • Solid knowledge of MS Office Suite with aptitude to learn new software and systems
  • Flexible team player willing to do what it takes to get the job done; strong propensity to think multiple steps ahead and anticipate needs, challenges, and questions.
  • Ability to exercise intense discretion and confidentiality in a professional manner
  • Ability to adapt to new conditions, assignments and deadlines and apply appropriate judgment; enjoys a challenge

In New York City, the base salary for this position at the time of this posting may range from $70,000 to $85,000. Individual compensation varies based on job-related factors, including business needs, experience, level of responsibility and qualifications.
