Role Overview

VeeFriends is seeking a highly organized, detail-oriented, and proactive Brand Operations Associate to support the execution of the company’s integrated product, brand, creative, and commercial initiatives.

This role will help keep projects, timelines, deliverables, approvals, and cross-functional workflows moving across the organization. Working closely with the Brand Operations lead and teams across Creative, Product Development, Supply Chain & Operations, Marketing, Sales & Demand Planning, and external partners, the Brand Operations Associate will play a key role in helping translate company priorities into clear action plans and organized day-to-day execution.

The ideal candidate is a strong communicator, natural organizer, and proactive problem-solver who thrives in a fast-moving entrepreneurial environment. This person should be comfortable managing details, following up with stakeholders, maintaining project management systems, and helping teams stay aligned against timelines and deliverables.

Key ResponsibilitiesBrand & Product Calendar Support
  • Support the day-to-day management and maintenance of the company’s integrated Product and Brand calendar.
  • Help track key milestones, launch dates, campaign timelines, retail programs, licensing initiatives, experiential moments, and other brand and commercial priorities.
  • Assist in translating leadership priorities and project plans into actionable timelines, workflows, and task lists.
  • Maintain visibility into project status, deadlines, dependencies, bottlenecks, and risks across departments.
  • Help ensure cross-functional teams have clear visibility into upcoming launches, deliverables, and key dates.
Cross-Functional Project Coordination
  • Support the Brand Operations function in coordinating work across:
    • Creative
    • Product Development
    • Supply Chain & Operations
    • Marketing
    • Sales & Commercial teams
    • External vendors and partners, particularly in Licensing and Collaborations
  • Follow up with internal stakeholders to ensure timelines, deliverables, feedback, and approvals remain on track.
  • Assist with preparing agendas, notes, recaps, and action items for recurring cross-functional meetings, launch readiness reviews, and project check-ins.
  • Help maintain clear communication between teams so that priorities, ownership, timelines, and next steps are well understood.
  • Support the development of scalable processes, operating cadences, and documentation that improve organizational efficiency.
Workflow & Systems Management
  • Maintain and update project management tools and workflow systems, including ClickUp and related operational platforms.
  • Ensure tasks, deadlines, owners, briefs, assets, and approvals are accurately reflected in internal systems.
  • Help teams use project management tools consistently and effectively.
  • Support dashboard updates, project trackers, SOPs, and internal documentation.
  • Assist in identifying gaps in workflow, process, or system usage and escalate opportunities for improvement to the Brand Operations lead.
Creative Operations Resourcing & Deliverable Tracking
  • Support the coordination and tracking of creative deliverables across in-house teams and external freelance partners.
  • Help maintain visibility into creative assignments, deadlines, feedback rounds, and approval status.
  • Assist with organizing and tracking a network of creative contractors and external service providers.
  • Support the delivery of a wide range of creative outputs, from major product and packaging work to daily marketing, social, content, and direct-response deliverables.
  • Help ensure creative work is completed on time, within scope, and aligned with project priorities.
Risk Management & Operational Support
  • Identify potential timeline, resource, or executional risks early and escalate concerns appropriately.
  • Help support leadership and cross-functional teams by maintaining accurate information on project status, outstanding needs, and upcoming deadlines.
  • Assist with process improvements, workflow optimization, and operational problem-solving.
  • Support a culture of accountability, proactive planning, and clear communication across the organization.
Qualifications
  • 2–4+ years of experience in Brand Operations, Project Coordination, Program Management, Marketing Operations, Creative Operations, Product Operations, or a related function.
  • Experience working within a consumer brand, entertainment company, retail organization, agency, licensing business, or high-growth startup environment preferred.
  • Strong organizational skills with excellent attention to detail.
  • Ability to manage multiple projects, timelines, tasks, and stakeholders simultaneously.
  • Strong written and verbal communication skills.
  • Comfortable following up with cross-functional teams and helping drive accountability.
  • Experience using project management and workflow tools such as ClickUp, Airtable, Asana, Monday.com, Canva, Google Workspace, or similar platforms.
  • Ability to take direction, organize information, and translate priorities into clear next steps.
  • Comfortable operating in a fast-paced, evolving environment with shifting priorities.
  • Proactive, solutions-oriented mindset with strong judgment and follow-through.
  • Interest in consumer products, entertainment, collectibles, character-based brands, culture, community, and storytelling.

  • Cross-functional teams have better visibility into priorities, next steps, and deadlines.

  • The Brand Operations function is well supported as the company continues to scale.
Reporting Structure

This role reports directly to the Head of Brand Operations and will work closely with teams across Product, Creative, Marketing, Commercial, Sales, Supply Chain, Operations, and external partner functions.
