ROLE OVERVIEWWe’re hiring an Operations Coordinator to keep business operations running smoothly and to provide executive support to our CEO and leadership by coordinating people, paperwork, and follow-through for creative projects and talent engagements. You’ll step into established workflows, receive clear direction, and have room to improve processes as you build ownership. The role starts part-time, with potential to expand hours and take on broader operational responsibility.

KEY RESPONSIBILITIES· Operations + Projects: Maintain tasks, deadlines, and trackers; translate decisions into assigned actions and coordinate administrative handoffs with project teams and partners.
· Executive Support: Coordinate scheduling, meeting preparation, designated correspondence, and approved business travel; organize decisions and follow-up for the CEO.
· Financial Administration: Collect and check invoices, receipts, and vendor documents; route approvals, maintain status records, and follow up with the bookkeeper and appropriate partners.
· Contracts + Bookings: Prepare deal memos and booking documents from approved templates and confirmed terms; coordinate review, signatures, deadlines, and booking logistics.
· Systems + Documentation: Keep assigned records and instructions current, run established workflows, and propose practical improvements.
ROLE REQUIREMENTS· Relevant experience in operations, project coordination, executive support, or business administration—typically 1–3 years; equivalent practical experience is welcome.
· Evidence of accurate follow-through, professional writing, sound judgment, and ownership of recurring work.
· Comfort with spreadsheets, document preparation, task tracking, and learning new systems. Entertainment-specific processes can be learned; attention to detail and dependability are essential.
TOOLS YOU’LL USEAsana, Airtable, Slack, Dropbox, Word/Excel, DocuSign, and designated business-administration tools. Experience with comparable platforms is welcome.
PLUSESEntertainment or talent-representation experience; familiarity with contracts, deal memos, financial paperwork, multiple business entities, or process documentation.
ADDITIONAL DETAILS· Employment: Part-time, hourly, nonexempt W-2 employee.
· Pay: $25–$35/hour. Starting pay reflects demonstrated skills and relevant experience.
· Hours: Initially ~25 hours per week during standard business hours, M-F 10am - 6pm ET.
· Flexibility: Some evening/weekend work and occasional business travel may be required.
· Location: Remote (U.S.) or Hybrid (NYC/LA) candidates are welcome.
· Start Date: As soon as mutually agreed; reasonable notice periods accommodated.
