Position Summary:
The Chief of Staff serves as a deputy to the Founder and CEO and plays a critical role in supporting her work to positively impact the world. You will support the CEO to implement the organization’s strategy, including oversight of lines of business, project management, and advising the CEO on both inward and outward-facing issues. It will grow to include support for the CEO’s speaking and writing and innovation businesses. You work well independently, have strong analytical and relationship-building skills, and have ample people and project management experience. You are flexible, agile, and discreet.

Responsibilities:

Serve as a conduit and advisor to CEO on major projects and initiatives with the purpose of best leveraging her time, reducing roadblocks, increasing impact, and accelerating progress.

Manage Scheduling. Work with CEO to strategically manage her calendar, such that activities reflect the greatest priorities on a daily, weekly and monthly basis. For example:
-Curate demands on and for the CEO’s time, e.g. identify meeting and
communications she does/does not need to engage with.
-Especially when CEO is out of office, serve as “traffic manager” for
requests on her time, e.g. from leadership team, committees, email
streams, etc. Curate and consolidate to maximize limited time.

Participate in leadership meetings: as partner when CEO is present, as the CEO’s representative when absent, and keep her actively informed as appropriate. Serve as a liaison and solicit pertinent inputs and feedback as needed

With other members of the team, co-facilitate to continually improve the effectiveness and efficiency of staff and executive leadership meetings.

Effectively represent Girls Who Code externally to various stakeholders as needed.

Manage the CEO’s Dashboard. Capture important information/metrics across the lines of business and roll it up into a daily, weekly, monthly, and quarterly briefings.

Partner with CEO on reporting. Design and/or compile reports, ad hoc presentations, briefings, and communications for internal and external stakeholders.

Board of Directors. Work with the CEO and other members of the leadership team to manage the planning and execution of regular meetings with the Board of Directors; take the lead on creation of the Board book (pre-reads, reports, minutes, follow up communication, etc).

Lead execution of and help design Staff retreats and other events as initiated by CEO.

Partner with the leadership team to develop the structure and content for staff and executive leadership team retreats; partner with other players on the delivery.

Serve as coach and innovation partner with CEO to build and sustain a culture of recognition, e.g. recognizing accomplishments, acknowledging birthdays/anniversaries, continually reinventing ways to express care & gratitude to Executive Leadership and staff, etc.

Partner with CEO in social media and written communication channels. This may include (and is not limited to): personal branding in SM channels, drafting or ghost-writing posts and articles, sourcing opportunities for print and media visibility.

Collaborate with the founder on her larger agenda. Support speaking and writing and innovation businesses, both on a strategic and tactical level.

May occasionally be asked to support the CEO in personal life/work balance tradeoffs in service of the mission.

Qualifications:

At least 7-10 years of professional experience in strategic planning, special projects and/or chief of staff-type roles. Bonus points for MBA, certification, or equivalent knowledge base of multiple functional areas, including project management, financial analysis, team facilitation, systems thinking.
Diplomacy: Success in past roles speaking truth to power and leading effectively across organizational units through influence and without direct authority. Must have keen interpersonal skills, excellent judgment, and a strong sense of tact and discretion.
Flexibility: Comfortable operating both at the board level and at administrative and tactical level, handling whatever is required to support the CEO and her agenda (e.g. from leading a meeting to copying the minutes)
Proactive: Ability to work autonomously, in ambiguous situations with little direction, running towards problems without being asked; solutions-oriented with strong judgment for the right course of action in any given situation.
Organized and Organizing: Must be able to react to time-sensitive matters as well as manage complex, longer-term initiatives. Solid personal organizational skills as well as ability to support others in managing time and priorities.
Communicator: Exceptional written and verbal communication skills; ability to write compellingly in another person’s “voice,” and represent another’s point of view in meetings.
Flexible and Resilient: The consistent ability to remain flexible, calm under pressure and adaptive to change as priorities shift, acting as a model for the CEO and the organization at large
Ethical: Handle and maintain highly confidential and sensitive information.

Requirements:

Physical requirements: Most duties of the role will be performed in an office environment. Because the work of GWC occurs anywhere a site sponsor provides space, the role may sometimes require field work in classrooms, offices, or locations that may require full mobility, e.g. climbing stairs, navigating non-compliant pathways, lifting and carrying up to 25 pounds, or previewing a speaking/teaching venue from multiple levels.
Location: position will be based out of GWC’s primary offices in New York City, Manhattan. Occasional overnight travel may be required.
Availability: The organization and the CEO operate in multiple time zones and on weekends. Therefore, the Chief of Staff must be available for occasional off-hours work, including early morning, evenings, and weekends.
Technology: The COS must access and be proficient in all major communication and social media tools, video conferencing platforms, and office software.
