College Board – Office of the CEO  

Location: This is a hybrid role and requires the candidate to be on-site at our New York office at a minimum of every Tuesday and Wednesday. This role requires other in-person work across New York City that may be necessary on days other than Tuesday and Wednesday, as well as periodic domestic and international travel, as needed. Anticipated travel is approximately 35%, though this may increase or decrease depending on business demands. 

Type: This is a full-time position

 

About the Team  

The Office of the CEO is a small, high leverage enterprise team that operates at the center of College Board, working directly with the CEO, President, and senior leaders to strengthen and accelerate mission impact. The Office brings together executive leadership support and enterprise execution to ensure the organization moves in a coherent, disciplined, and aligned way. We work with urgency, integrity, and a focus on high-quality output, collaborating daily with colleagues across the 1,900-person organization. Our team is committed to providing clarity and meaning for all College Board colleagues to drive organizational priorities and thrive within the organization.   

 

About the Opportunity 

As Coordinator, CEO Operations, you play a critical operational role in keeping the Office of the CEO running smoothly day to day. This role is designed to provide constant coverage, flexibility, and operational support across CEO priorities and office wide needs. This is an early career opportunity for someone seeking exposure to executive operations within a complex organization. 

 

You are highly productive, technically fluent, calm under pressure, and improvement oriented. You work closely with the Director, CEO Operations to ensure seamless calendar coverage, scheduling continuity, and operational reliability in support of the CEO. In addition, you provide logistical, event, and administrative support across the Office of the CEO and support administrative needs for the Executive Director, CEO Initiatives. Your work flexes day to day based on where support is most needed, requiring comfort shifting priorities and stepping in to solve problems as they arise. 

This role is ideal for someone who enjoys operations, thrives on follow through, and is energized by supporting a fast moving executive office. You are comfortable working behind the scenes, anticipate needs, and take pride in continuously improving how systems and routines operate. 

 

You will report to the Executive Director, CEO Initiatives and work closely with the Director, CEO Operations who is the senior administrative lead.  

 

In this role, you will: 

 

Calendar and Scheduling Support for the CEO (40%) 

  • Support calendar management for the CEO, ensuring accuracy, conflict resolution, and continuity when the primary assistant is unavailable. 

  • Assist with travel arrangements, expense processing, and reimbursements for the CEO. 

  • Track and monitor CEO travel to ensure itineraries are seamless and adapt quickly to changes as needed. 

  • Respond to time sensitive and ad hoc requests from the CEO, including occasional personal or family related coordination that supports effective time management. 

  • Collaborate with executive assistants and coordinators across the organization to support complex scheduling needs. 

 

Operational Support for the Office of the CEO (40%) 

  • Assist with scheduling and logistics across the Office of the CEO, including internal meetings, cross functional coordination, and external engagements. 

  • Provide day to day operational and administrative support, including logistics, materials preparation, and follow up. 

  • Support event coordination, mailings, supplies, and general office management needs. 

  • Help maintain office routines and systems that ensure reliability, clarity, and smooth daily operations. 

  • Provide administrative support for the Executive Director, CEO Initiatives, including scheduling, expenses, and travel coordination as needed. 

  • Provide basic technology and virtual meeting support for Office of the CEO meetings. 

  • Coordinate with the College Board IT team to resolve issues and support meeting readiness. 

 

Special Projects and Team Support (20%) 

  • Support special projects and ad hoc requests across the Office of the CEO as priorities shift. 

  • Assist senior team members with research, document preparation, and coordination tasks. 

  • Uphold confidentiality, discretion, and professionalism in all interactions and materials. 

 

About You 

  • High school diploma or equivalent required; associate’s or bachelor’s degree preferred. 

  • One to three years of administrative, coordination, or office operations experience. 

  • Highly productive with strong follow through and attention to detail. 

  • Technically fluent and comfortable learning new systems and tools quickly. 

  • Able to remain calm, organized, and solutions focused in fast paced or ambiguous situations. 

  • Strong organizational, written, and verbal communication skills. 

  • A proactive, dependable, and collaborative working style. 

  • Ability to handle sensitive information with discretion.

About Our Process
