About the Job

The NA Field Education & Pro Coordinator supports the VP, of Education, Pro & Global Specialty retailers with a dotted line to the Director of Education. This individual is the central role in supporting the day-to-day operations of the Education and Pro Artistry teams including all training programs, field resources, travel & governance of all SharePoint libraries & digital tools. This role brings strong organization, proactive communication, sound judgement, and adaptability to support the teams success across North America. The ideal candidate loves and thrives in a fast paced environment, anticipates needs, and approaches their work with a high level of ownership, attention to detail and confidentiality.

Role Accountabilities:

Field Support (50%)

People:

  • New Hires/Leavers
    • Owns ordering and shipping all field supplies for Field (luggage, kit stock, luggage organizer etc.). Works with Sales Coordinator to procure any necessary information.
    • Owns booking and arrangement of payment for any Field travel if needed in advance of new hire receiving corporate credit card in partnership with Sales Coordinator
  • HR
    • Assist with Magic Office projects that pertain to Field (ie: recognition programs or brand initiatives)
    • Maintain Education and Pro Product Closets
  • Meetings/Calendar Management:
    • Schedule meetings on behalf of Director of Education & VP and maintain recurrences
    • Send and maintain calendar invites for all key large-scale training dates, activities, events, NSOs, promotions, and due dates
    • Record and circulate meeting notes and actionable next steps for Edu and Pro calls
  • Training and Event Support:
    • Retailer virtual training support
    • Model booking & supply/ gratis logistics
    • LMS (E-Learning Platform)
      • Weekly % completion recaps to ATs and REMs
      • Push modules to designated parties
      • Compile team feedback and share with Director of Field Education and Pro Artistry
    • Book in-store artist travel for regional and national training tours
    • Support the team in sourcing training facilities for regional and national training tours
    • Support Director in post-training recap deck

Education Content Creation, Editing, and Organization (25%):

  • Own SharePoint organization & version management. Ensure all materials are up to date and in the proper folders.
  • Partner to help format, proofread, and edit PPT presentations and other training materials.
  • Manages education & pro strategy workbook covering all training activity in the region including: onboarding, core NPD trainings, artistry workshops and event dates.
  • Ensures maintenance of NA Training Tracker sheet with certification and training attendance updates
  • Gratis
    • Owns retailer gratis pitch, calendar timeline & ongoing status comms to field.
    • Liaison between Field and Operations, communicating delivery questions and concerns and approving the Gratis Survey
    • Creation of vendor set up and P.O processing for all retailer programs
    • Timely shipment of new launch & core kit replenishment items to field.

Budget Reconciliation (25%)

  • T&E and OPEX
    • Assist Leadership team with quarterly budget forecasting and actualization of all travel and expenses costs from the training team, managing and escalating risks and opportunities
      • Rollup of Seasonal School and Start of A Dream budget vs actual
      • Create/maintain Education and Pro T&E budget tracker
      • Timely updating of budgets within tracker
      • Report month and YTD T&E budget actuals vs plan
    • Freelance (Contracted Artist) or Models
      • Work with Pro Manager on model talent pool set up and payment.
      • Ensure freelance artist or model agency submits invoice & PO is processed.
      • Own all Docusign model contracts & ensure completion
      • Update/maintain Freelance OPEX budget
      • Roll up and report freelance spend to Leadership team in monthly review
      • Identify charges to be reclassed to other budgets
      • Ensure freelancers and models are paid in a timely manner

Reporting Relationships: Reports to VP, Education, Pro, & Global Specialty


Requirements

Key Selection Criteria:

  • Well versed in end-to-end program management.
  • Experience in budget management and understanding of forecasting and success measurements.
  • Experience providing direct administrative support to individuals and teams including calendar management & meeting recaps
  • Experience coordinating travel and meeting logistics for large field teams
  • Highly skilled in Microsoft Office Suite
  • Highly skilled in Microsoft Excel, PowerPoint, and Word
  • Experience in copy writing,editing & presentation design
  • Experience planning off-site events & meetings
  • Experience handling confidential information
  • Excellent attention to detail & a passion for organization
  • Preferred experience in or passion for beauty
  • Must exhibit a can-do attitude and possess strong problem-solving skills

Benefits

Base Salary Range: $65,000.00 - $75,000.00**
