Data Entry Clerk

Job Summary

We are seeking a reliable, organized, and detail-oriented Data Entry Clerk to join our team. The Data Entry Clerk is responsible for accurately entering, updating, verifying, and maintaining information in company databases, spreadsheets, and other electronic systems.

The ideal candidate has strong computer skills, excellent attention to detail, accurate and efficient typing skills, and the ability to handle repetitive tasks while maintaining a high level of accuracy. This position may also provide general administrative support, including document scanning, filing, record maintenance, and retrieving information when needed.

Key Responsibilities

  • Enter information accurately from paper documents, forms, emails, spreadsheets, and other sources into company databases and computer systems.
  • Review and verify entered information for completeness, accuracy, and consistency.
  • Identify and correct data entry errors, duplicate records, missing information, and inconsistencies.
  • Update existing customer, employee, vendor, financial, inventory, or other records as required.
  • Organize and maintain electronic and physical files and records.
  • Create, update, and maintain spreadsheets using Microsoft Excel, Google Sheets, or similar software.
  • Scan, upload, index, and electronically organize documents.
  • Retrieve records and information from databases and electronic filing systems when requested.
  • Compare information against original source documents to ensure accuracy.
  • Research missing or incomplete information and communicate with appropriate departments to obtain corrections.
  • Maintain confidentiality and protect sensitive company, customer, employee, and business information.
  • Follow established data-entry procedures, naming conventions, filing systems, and quality-control standards.
  • Prepare basic reports and summaries from entered data.
  • Assist with data cleanup, database maintenance, and special data-entry projects.
  • Process large volumes of information efficiently while meeting established deadlines.
  • Communicate with team members regarding discrepancies, missing information, and data requirements.
  • Provide general administrative support as assigned.
  • Perform other duties and special projects as requested by management.

Required Qualifications

  • High school diploma or GED equivalent.
  • Strong computer and keyboarding skills.
  • Excellent attention to detail and accuracy.
  • Ability to type quickly and accurately.
  • Strong organizational and time-management skills.
  • Ability to work independently with minimal supervision.
  • Ability to follow detailed instructions and established procedures.
