Document Services Specialist – Second Shift

Locations: New York, NY | Washington, DC | Northern Virginia | Louisville, KY
Shift: Second Shift (4:00pm - 12:30am, exact hours vary by location)

Are you a tech-savvy professional with a passion for precision and client service? Join our high-performing America’s PA and Document Services Team, a 24/7 operation that supports attorneys, paralegals, and business professionals across the firm. As a Document Services Specialist, you’ll play a key role in producing, editing, and troubleshooting complex legal documents while also providing essential administrative and office support.  This second shift position offers the opportunity to work in a fast-paced, collaborative environment where your expertise in legal software and document production will have a direct impact on the firm’s success.

What You’ll Do

  • Create, format, and revise complex legal documents using Microsoft Office and specialized legal tools.
  • Troubleshoot formatting issues and repair problematic documents to meet firm and client standards.
  • Transcribe dictation, perform data entry, and support document-related help desk inquiries.
  • Assist with document conversion, mail merges, PDF creation, and closing binders.
  • Provide general administrative and office support to ensure smooth daily operations.
  • Collaborate with a global team to ensure seamless 24/7 document services coverage.

Work Schedule

  • Second Shift: Generally, 4:00pm – 12:30am (exact hours may vary by location).
  • Scheduled five days per week to support full seven-day coverage.
  • Flexibility to work evenings, weekends, and occasional overtime is required.

What You’ll Bring

  • Minimum typing speed of 70 WPM.
  • Advanced proficiency in Windows 11 and Microsoft Office 365 (Word, Excel, PowerPoint, Outlook).
  • Experience with legal tools such as Best Authority, Litera ChangePro, NetDocuments, Adobe Acrobat, and PDF converters.
  • Familiarity with tools like Visio, AbbyFinereader, Contract Companion, DocXTools, iScrub, and graphics programs (e.g., Adobe Photoshop, Illustrator).
  • Ability to manage multiple assignments and meet tight deadlines with accuracy.
  • Strong verbal and written communication skills.
  • Proven ability to handle confidential information with integrity and discretion.
  • A client-focused mindset and commitment to high-quality service.

Education & Experience

  • Minimum of 3 years of document processing experience, preferably in a law firm.
  • Microsoft Office Specialist (MOS) certification preferred.
  • Additional college or technical training preferred, associate or bachelor’s degree in a relevant field desirable.

This position is posted in multiple locations and the exact pay rate will be determined by candidate location. In Washington, D.C., the annualized salary range for this position is $68,000 to $88,500 and in New York, the annualized salary range for this position is $72,700 to $91,000 depending on the candidate's overall experience and other job-related factors permitted by law. Full-time employees may be eligible for a discretionary bonus. In addition, full-time employees as well as some part-time employees, will be eligible for the firm’s fringe benefits as they currently exist.
