The Role & Team:

We are seeking a highly organized Executive Assistant to provide comprehensive support to the CEO. The ideal candidate will be a master of efficiency and logistics, able to navigate a fast-paced environment with grace, and have excellent communication and organizational skills. The Executive Assistant will play a crucial role in ensuring the CEO's schedule is optimized and that their day-to-day operations run seamlessly. 

This role will be located in the NYC Metro area. The person in this role will be expected to have a regular presence in our NYC office.


Key Responsibilities:

  • Manage the CEO's calendar, scheduling and coordinating meetings, while considering the time zones of a global organization. Adapt quickly to last-minute changes and reprioritization.
  • Plan and book travel arrangements, optimizing itineraries. Collaborate with the CEO’s Chief of Staff to put together comprehensive packets for business trips anticipating and addressing potential challenges in advance.
  • From time to time, represent the CEO in meetings, taking notes and summarizing key points when required.
  • Act as a gatekeeper for the CEO's schedule, controlling access and ensuring that the CEO's time is optimized. 
  • Craft and distribute agendas and other documents for meeting participants and executive team leaders when necessary.
  • Exercise sound judgment and tone when managing requests and inquiries internally and externally.
  • Be quickly responsive and available during nights and weekends as needed to address urgent matters and ensure the CEO's schedule runs smoothly.
  • Ensure the CEO moves from meeting to meeting on schedule throughout the day.

  • Exceptional organizational and multitasking abilities.
  • A great writer with a knack for objective-focused, concise and friendly business communication.
  • Tactful oral communicator who knows how to deliver a message clear and concisely.
  • Strong executive presence. 
  • Proficient in handling logistics and travel arrangements.
  • High level of discretion and confidentiality.
  • Ability to adapt to a dynamic and fast-paced work environment.
  • Ability to see around corners to make the CEO’s day easier.


Salary & Benefits:

  • Salary: $100,000-$150,000 (dependent on skills, experience, and competencies)
