Job Description

Purpose of the role

To provide administrative and organisational support to executives, managers, or teams. To manage schedules, acting as a trusted point of contact, ensuring seamless coordination, efficient task management, and a professional presence for their assigned individuals or teams. 

Accountabilities

  • Management of executive, managers or team calendars and overseeing timely responses to meeting invitations and requests.
  • Planning and arranging travel itineraries, including flights, accommodation and ground transportation, ensuring timely and efficient travel for the executive or team.
  • Proactively anticipating the needs of the executive or team, prioritising tasks, and ensuring timely completion.
  • Management of day-to-day administrative tasks, such as expenses, maintaining filing systems, and ordering office supplies, annual leave records management, distribution list management and organisation management tasks.

  • Guide and persuade team members and communicate complex / sensitive information.
  • Act as contact point for stakeholders outside of the immediate function, while building a network of contacts outside team and external to the organisation.

Join Barclays as an Executive Assistant, where you will provide executive support to the growing population of senior leaders across Cross Markets in NY. In this role, you'll be expected to manage scheduling and communication for Cross Markets senior management in NY, as well Head of Cross Markets when travelling to NY, and act as a go-to contact for the wider teams on administrative issues.


To be successful as an Executive Assistant, you should have experience with:


•Managing scheduling for senior management

•Organizing and preparing for meetings, including gathering documents and attending to logistics of meetings

• Answering and responding to phone calls, communicating messages and information to management

• Prioritizing emails and responding when necessary

• Coordinating travel arrangements and team building activities


Some other highly valued skills may include:


•Previous executive assistant experience supporting senior management

•Ample stakeholder management skills

•Excellent written and verbal communication skills

•Exceptional organizational skills

This role is located in New York, NY.


Minimum Salary: $80,000

Maximum Salary: $115,000


The minimum and maximum salary/rate information above include only base salary or base hourly rate. It does not include any other type of compensation or benefits that may be available.
