Provide calendar management, complex domestic and international travel coordination, expense reporting, meeting and event logistics, CRM administration, and client communications for four senior bankers. Liaise with global offices and partner with Marketing for client events while maintaining professional presence, strong organization, and proactive problem-solving.
Responsibilities:
- Provide comprehensive calendar management for a rapidly growing New York–based team within the firm’s Global Infrastructure group
- Coordinate complex domestic and international travel for four senior bankers (two Managing Directors and two Directors), including itineraries, logistics, and last‑minute adjustments
- Manage expense reporting for senior bankers with accuracy, timeliness, and strong attention to detail
- Prepare conference rooms and boardrooms for meetings, including setup and breakdown, ensuring all technology and materials are functioning properly; arrange catering as needed and warmly welcome clients and prospective clients to designated meeting spaces
- Administer and update the firm’s Customer Relationship Management (CRM) system to accurately reflect deal activity and maintain data integrity
- Serve as a liaison between the New York team and global counterparts—particularly London—supporting cross‑office initiatives, sharing updates, and assisting with travel arrangements for global offsites
- Communicate with clients on behalf of senior bankers, including managing event RSVPs and follow‑ups
- Partner with Marketing to source venues, secure reservations, and coordinate logistics for client gatherings and events of varying scale
- Maintain a polished, professional presence while demonstrating resourcefulness, proactive problem‑solving, impeccable follow‑up, and strong time management
Qualifications:
- 3-5 years of previous experience as an Executive Assistant or Administrative Assistant required
- College degree preferred
- Excellent attention to detail, written and verbal communication skills
- Ability to prioritize multiple workstreams
- Proficient in Microsoft Office programs (i.e., Word, Excel, PowerPoint, Outlook Calendar and Contacts).
- Ability to interact with high-level executives and clients.
This role requires onsite presence in office (Midtown East) during standard business hours Monday through Thursday, with the option to work remotely on Fridays.
The anticipated base salary range for this role is $85,000 to $100,000. Base salary for the role will depend on several factors, including a candidate’s qualifications, skills, competencies, and experience, and may fall outside of the range shown. This position is classified as non‑exempt and is eligible for overtime pay. In addition, this role may be eligible for a discretionary bonus.
