Job Description
The Executive Assistant (EA) will provide high-level administrative, operational, and strategic support to C-suite executives. This role requires exceptional professionalism, discretion, organizational prowess, and the ability to operate in a fast paced, dynamic, and highly visible environment within a global media and advertising agency across a matrixed organization.
The EA will act as a strategic extension of the executive – optimizing time, facilitating communication, managing priorities, anticipating needs, and ensuring effectiveness across internal and external engagements.
Key Responsibilities
- Manage complex, dynamic calendars across multiple time zones; anticipate needs and proactively identify opportunities to optimize time and impact.
- Adapt quickly to last minute changes, ensuring seamless communication and coordination.
- Plan and manage extensive domestic and international travel, including visas, itineraries, accommodations, and contingency planning.
- Prepare for meetings — including agendas, briefings and follow-up actions.
- Manage expense reporting, budgets, and vendor relationships with accuracy and confidentiality.
- Coordinate strategic initiatives and track progress on key company priorities, ensuring deliverables are met.
- Coordinate executive meetings, offsites, town halls, and leadership/client events.
Qualifications:
Skills & Competencies:
- Exceptional organizational and time-management skills with the ability to manage competing priorities.
- Strong written and verbal communication skills — clear, concise, and professional.
- Superior interpersonal and relationship-building skills with the ability to communicate effectively.
- High emotional intelligence, discretion, and sound judgment.
- Proficiency with productivity tools (Microsoft 365, Teams, Zoom, Concur, etc.).
- Ability to work across cultures and time zones with flexibility and resilience.
- Demonstrated ability to manage confidential and sensitive information with integrity.
Education & Experience:
- Bachelor’s degree
- Minimum 8+ years of executive support experience, with at least 5 years supporting C-suite executives (preferably in a global role).
- Experience working for a global or multinational organization, preferably in media/advertising or similar field.

Employees who live within a commutable distance of one of our hub offices, currently located in Chicago, metro Detroit, Los Angeles, and New York City, are required and expected to work from the office three days per week (two days per week for employees based in Los Angeles). Dentsu may designate other Hub offices at any time. Those who live outside a commutable range may be designated as remote, depending on the role and business needs. Regardless of your work location, we expect our employees to be flexible to meet the needs of our Company and clients, which may include attendance in an office.
The annual salary range for this position is $82,800-$110,400. Placement within the salary range is based on a variety of factors, including relevant experience, knowledge, skills, and other factors permitted by law.
