We’re looking for a proactive, highly organized Executive Assistant to support our CEO and help keep SuperDial running smoothly behind the scenes.

This is a high-trust role for someone who enjoys creating structure, anticipating needs, and helping a busy executive operate with more clarity and focus. You’ll manage the CEO’s calendar, travel, meeting preparation, communication workflows, follow-ups, and key administrative priorities.

This role goes beyond scheduling. You’ll help create stronger operating rhythms, keep important work moving, and bring calm, thoughtful execution to a fast-moving environment. You’ll also support light office management for our New York office.

What You’ll Do
  • Manage the CEO’s calendar and help prioritize scheduling across internal and external stakeholders.

  • Coordinate meetings, including agendas, prep materials, logistics, notes, and follow-ups where appropriate.

  • Book and coordinate CEO travel, including flights, hotels, ground transportation, reservations, and related logistics.

  • Track action items, commitments, and open loops so important follow-ups do not get missed.

  • Support communication workflows, including organizing priorities, drafting responses, and flagging urgent or sensitive items as appropriate.

  • Help coordinate CEO-led recruiting processes, including candidate scheduling, interview logistics, and follow-up.

  • Partner with leaders across the company to coordinate meetings, resolve scheduling conflicts, and improve communication flow.

  • Support leadership meetings, company meetings, onsite sessions, team gatherings, and internal events.

  • Help maintain a professional, organized, and welcoming New York office environment, including supplies, snacks, meeting room readiness, visitors, mail, and basic vendor coordination.

  • Handle confidential and sensitive information with discretion, professionalism, and sound judgment.

What Success Looks Like

Within the first 90 days, you will have built trust with the CEO and key internal stakeholders, established a reliable calendar and scheduling process, taken ownership of travel and meeting logistics, and created a simple system for tracking follow-ups, action items, and open loops.

Within the first 6 months, you will have improved the CEO’s operating rhythm by reducing last-minute scrambling, ensuring priority meetings are well-prepared, protecting focus time, and creating stronger visibility into commitments across candidates, customers, investors, advisors, leaders, and internal teams.

Within the first 12 months, you will be a trusted operating partner to the CEO, known for strong judgment, discretion, follow-through, and calm execution. You will have created repeatable systems that make the CEO’s calendar, communication, travel, meetings, follow-ups, and office rhythms easier to manage as the company scales.

About You

You are organized, proactive, and able to manage many moving pieces without losing the details. You communicate clearly, handle sensitive information with discretion, and stay steady in a fast-moving environment.

You are service-oriented without being passive. You are comfortable asking clarifying questions, making recommendations, managing up thoughtfully, and creating structure where it does not yet exist.

Qualifications
  • 4+ years of experience as an Executive Assistant, Senior Executive Assistant, Administrative Business Partner, Chief of Staff Associate, or similar role supporting a CEO, founder, C-Suite executive, or senior leadership team.

  • Experience in a fast-paced healthcare, technology, startup, professional services, or similarly dynamic environment.

  • Strong calendar management, scheduling, travel planning, meeting coordination, and prioritization skills.

  • Excellent written and verbal communication skills.

  • Strong attention to detail and ability to manage multiple workstreams at once.

  • High integrity and comfort handling confidential information.

  • Ability to operate independently, anticipate needs, and create structure in a fast-moving environment.

  • Professional presence with executives, candidates, investors, advisors, customers, and team members.

  • Willingness and ability to work from the New York office 4 days per week.

Nice to Have
  • Experience supporting a founder or first-time CEO.

  • Experience in a venture-backed startup or high-growth technology company.

  • Experience with light office management, workplace operations, or team event coordination.

  • Familiarity with tools such as Google Workspace, Slack, Notion, Ashby or other recruiting systems, expense platforms, and modern scheduling tools.

What We Offer

The base salary range for this role is $120,000–$160,000, based on experience, skill set, and qualifications.

SuperDial also offers equity options and benefits, including health, dental, and vision coverage. Final offers may vary based on experience and alignment with the scope of the role.
