You will be the right hand to Justin McLeod, Overtone's founder and CEO. Justin moves fast, holds a high bar, and juggles a wide range of obligations—from investor relationships and press to product strategy and team building. He needs a trusted assistant who can keep things running seamlessly behind the scenes so he can stay focused on building a business and product from scratch.
You'll also support our Head of Operations on the people and workplace side—helping the team grow smoothly, the office run well, and key processes stay on track. In practice, this role is roughly 50% classic EA work (calendar, inbox, admin) and 50% ops and office support (onboarding, office management, hiring coordination, team events), and it requires you to be on-site in NYC.
What You’ll DoExecutive support: Manage the CEO's calendar and inbox end-to-end—scheduling, prioritizing, triaging correspondence, and ensuring he moves fluidly across obligations with a clear head and inbox zero.
Employee onboarding support: Partner with the Head of Operations to support new hire onboarding—coordinating equipment, workspace setup, introductions, and first-week logistics.
Office management: Hold down the fort at our NYC office—managing supplies, vendor relationships, facilities needs, and ensuring the space is welcoming, stocked, and running smoothly.
Team events: Partner with the Head of Operations to plan and execute team events, offsites, and company gatherings—coordinating venues, catering, RSVPs, and day-of logistics.
Hiring process support: Partner with the Head of Operations on the administrative side of hiring—scheduling interviews, coordinating with candidates, and keeping the process moving smoothly.
AI & tooling: Embrace AI tools to stay organized, automate repetitive tasks, and scale your impact—helping the team work smarter across communications, scheduling, and documentation.
At least 5 years of experience as an executive or administrative assistant, preferably supporting a founder or senior executive in a fast-moving environment
A genuine interest in being a great EA—this is not a stepping stone role, but it is a rare front-row seat to watch a startup grow from the ground up
Strong organizational instincts and follow-through—you build systems that stick and details don't slip past you
Calm, adaptable, and proactive when priorities shift; you anticipate needs before they're voiced
Comfortable working across tools including Google Workspace, Notion, and Slack
Hands-on comfort with AI tools (e.g. Claude, Notion AI) to draft communications, summarize information, and stay organized
Warm, professional presence that represents the company well with external partners and guests
Salary of $90K to $120K.
