Job Summary
The HR and Executive Office Support Coordinator will oversee HR and office operations at GMI Trading’s South Plainfield, NJ facility, ensuring smooth daily workflows and strong coordination with the Brooklyn headquarters. This hybrid role combines HR responsibilities for warehouse staff, office management, and executive support. The Coordinator will play a key role in fostering a productive and positive work environment while upholding GMI Trading’s values and maintaining consistent communication between sites.
Key Responsibilities:
HR Coordination
- Support hiring and termination processes, including employee record updates and documentation.
- Partner with the HR team to schedule interviews and manage candidate communications.
- Oversee onboarding and offboarding procedures in alignment with company policies.
- Manage time and attendance tracking systems.
- Prepare and submit regular HR reports (e.g., hiring metrics, terminations, workforce trends).
- Act as the main point of contact between the South Plainfield facility and the Brooklyn HQ for all HR and policy matters.
- Address general employee and benefit-related inquiries in collaboration with the HR team.
- Coordinate new hire training and assist with performance and coaching discussions.
- Work closely with HQ recruiters and local managers to support interview scheduling and candidate screening.
Office Management
- Maintain office supplies and place orders as needed.
- Organize employee lunches and executive meeting catering.
- Coordinate with maintenance teams to ensure facility upkeep.
- Greet and assist visitors and vendors in a professional manner.
Executive & Operations Support
- Provide administrative support to executives based at the South Plainfield facility.
- Help organize and coordinate executive meetings, events, and site visits.
- Support operations managers with general administrative tasks.
- Facilitate effective communication between site leadership and departments at HQ.
Qualifications & Skills:
- Strong organizational skills with the ability to manage multiple priorities.
- Excellent communication and problem-solving abilities.
- Proficient in Microsoft Office (Excel, Word, PowerPoint, Outlook).
- Ability to manage sensitive information with confidentiality and professionalism.
- Previous experience in HR support, office administration, or similar roles.
