HR Operations Assistant (Full-Time):
Position Summary
The HR Operations Assistant provides administrative, clerical, and employee engagement support to GrowNYC’s Human Resources team. In this role, the HR Operations Assistant will primarily provide administrative support to all members of the HR department while gaining exposure to a broad range of human resources functions through participation in diverse projects and initiatives. The HROA will help foster strong relationships across departments and programs while contributing to a positive employee experience. The position offers the opportunity to strengthen communication throughout the organization by gathering and sharing feedback that enhances collaboration and engagement. The HR Operations Assistant plays a key role in creating and supporting a positive employee experience throughout the entire employee lifecycle, from onboarding through offboarding. This position helps ensure that employees feel welcomed, informed, engaged, and supported at every stage of their journey with the organization.
Requirements
HR Operations Assistant Responsibilities (Include but are not limited to):
Administrative Duties
- Oversee the entire employee onboarding lifecycle, including issuing offer letters, executing I-9 verifications, and managing mandatory training assignments.
- Coordinate the employee offboarding process in partnership with relevant internal teams to guarantee seamless completion, including preparing termination notices, organizing required paperwork, and managing asset collection.
- Provide temporary operational coverage and comprehensive administrative assistance to the HR team as needed.
- Foster a welcoming workplace by managing office upkeep, creating employee nameplates, and assisting with team social events.
- Design informative signs, flyers, and promotional posters for various organizational needs.
- Review, update, and conduct employee surveys using the Paylocity platform.
Employee Engagement
- Schedule and conduct bi-monthly “HR Town Hall" meetings
- Assist with development of wellness programs and other initiatives
- Manage HR programs such as Employee Recognition, Birthday Acknowledgements, etc.
- Participate in other programs’ weekly/by-weekly meetings to engage other colleagues and inform them about any HR news or highlights
- Prepare presentations for senior staff on a variety of HR initiatives, practices or changes in policy
- Plan, organize, facilitate and attend staff events
Learning and Development
- Assist with the LMS platform including but not limited to setup, upkeep, gathering feedback, etc.
- Support team members in effectively navigating and utilizing the platform.
- Create training content on relevant HR policies and topics as needed
- Attend monthly meetings to discuss training plan
Recruiting
- Meet weekly with Talent Acquisition Manager to discuss recruiting matters and provide updates on relevant projects
- Screen resumes for open positions
- Assist with phone screenings, sitting in on interviews and reference checks as needed
- Assist with scheduling interviews and updating Applicant Tracking System
- Post job openings on job forums as needed
- Attend hiring meetings with managers to help assist in recruiting efforts, help with performance, etc.
- Support Talent Acquisition Manager with editing and updating job descriptions and job posts
- Collaborate with Talent Acquisition Manager on outreach initiatives
- Support Talent Acquisition Manager to meet timelines and deadlines for hiring/recruiting
- Table Job Fairs and Career events both online and in person with Talent Acquisition Manager
- Assist with continuous improvement of Talent processes at all levels
Required Qualifications:
- Minimum of 1–2 years of experience in a Human Resources, People Operations, or similar administrative support role.
- Proven ability to handle sensitive and confidential information with discretion and professionalism.
- Excellent written and verbal communication skills, with the ability to communicate effectively across all levels of the organization.
- Strong organizational and time management skills, with the ability to prioritize multiple tasks, meet deadlines, and adapt in a fast-paced environment.
- Self-motivated and proactive, with the ability to work independently, identify opportunities for improvement, and implement effective solutions.
- Highly detail-oriented with a creative, innovative, and solution-focused mindset.
- Exceptional interpersonal skills and the ability to build positive, collaborative relationships with colleagues and stakeholders.
- Ability to collect, analyze, and interpret data to support HR initiatives and informed decision-making.
- Proficiency in Microsoft Office Suite (particularly Excel) and Google Workspace required; experience with Adobe Creative Suite and Canva is preferred but not required.
Ideal Qualifications:
- Knowledge of Paylocity or similar platforms
- Knowledge of TalentLMS or similar platforms
- Interest in Food Justice and equitable policies
Physical Requirements
Ability to be seated for long periods of time and travel within the five boroughs as needed
Schedule
The position will be expected to work primarily Monday-Friday 9am-5pm, 35-40 hours per week, on-site at GrowNYC’s office in downtown Manhattan (three days). In-office presence is required every Wednesday. Occasional off site work may be required, including the GrowNYC Food Hub located in the Bronx and also attending job fairs and work related events within the 5 boroughs.
Compensation
This position is non-exempt, salaried, and pays $52,000 to $55,000/year commensurate on experience. This position includes full benefits (medical, dental, vision, life insurance, long-term disability, incentive savings plan, paid time off, Public Service Loan Forgiveness, and potential for parental leave for full-time regular employees who have been employed with GrowNYC for 175 days and FSA programs). This position is not union eligible.
