Position Summary

We are seeking a highly organized HR & Payroll Coordinator to support payroll and day-to-day HR operations for a fast-paced, multi-location retail organization. This hands-on role manages payroll data, employee records, onboarding, benefits support, leave administration, and recruiting coordination while maintaining accuracy, responsiveness, and confidentiality.

Key Responsibilities

Payroll & ADP Workforce Now

·     Support accurate and timely payroll processing across multiple retail locations.

·     Review timecards, punches, PTO, overtime, commissions, deductions, and other payroll data; investigate and resolve discrepancies.

·     Process new hires, terminations, pay changes, transfers, promotions, and status changes in ADP Workforce Now.

·     Maintain accurate HRIS records and respond to employee and manager questions regarding pay, deductions, timekeeping, PTO, and pay statements.

·     Support payroll audits, reporting, reconciliations, and year-end activities while protecting confidential information.

Human Resources & Leave Administration

·     Coordinate onboarding, employment documentation, separations, personnel files, and benefits-related changes.

·     Administer employee leaves, including sending and tracking FMLA and disability paperwork, monitoring deadlines, maintaining documentation, and coordinating return-to-work information.

·     Support workers' compensation, unemployment claims, employment verifications, HR compliance, and recordkeeping.

·     Prepare reports and provide administrative support for employee relations, investigations, corrective actions, and other HR initiatives.

Recruiting Support

·     Post and maintain open positions in Workable ATS and other recruiting platforms.

·     Track candidates and coordinate background checks, offer letters, onboarding requirements, and start dates.

Qualifications

·     Minimum 4 years of professional HR, payroll, or HR operations experience.

·     Mandatory: Hands-on ADP Workforce Now experience.

·     Mandatory: Advanced Excel skills, including VLOOKUPs and PivotTables.

·     Experience administering FMLA, disability, and other employee leaves.

·     Experience supporting payroll in a multi-location environment strongly preferred.

·     Workable ATS experience preferred.

·     Retail, telecommunications, hospitality, or another high-volume, multi-unit environment preferred.

·     Working knowledge of payroll practices, onboarding, benefits, HR recordkeeping, and employment compliance.

·     Exceptional attention to detail, organization, communication, problem-solving, and ability to manage competing deadlines.

·     Ability to handle sensitive employee information with discretion and confidentiality.

Education

Bachelor's degree in Human Resources, Business Administration, or a related field preferred. Equivalent relevant HR and payroll experience will be considered.
