We are seeking a highly organized, professional, and detail-oriented Human Resources Assistant to support the daily operations of the Human Resources department. The HR Assistant will provide administrative support across recruiting, onboarding, employee records, benefits, payroll coordination, compliance, and general HR activities.

The ideal candidate will have strong communication and organizational skills, the ability to maintain confidentiality, and a strong interest in working with people and HR processes. This position requires accuracy, professionalism, discretion, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

Human Resources Administration

  • Provide day-to-day administrative support to the Human Resources department.
  • Maintain accurate and up-to-date employee personnel records and HR databases.
  • Prepare, organize, scan, and file HR documents and employee records.
  • Process employee information changes, including addresses, contact information, job changes, and status updates.
  • Assist with preparing HR reports, spreadsheets, correspondence, forms, and other documents.
  • Respond to routine employee questions and direct complex questions to the appropriate HR representative.
  • Maintain confidentiality of employee and company information.
  • Assist with HR projects, audits, and administrative initiatives as assigned.

Recruiting and Hiring

  • Assist with posting job openings on appropriate job boards and company career sites.
  • Review applications and resumes as directed by HR or recruiting staff.
  • Schedule interviews between candidates and hiring managers.
  • Communicate with candidates regarding interview schedules, application status, and required documentation.
  • Maintain accurate applicant records and recruiting files.
  • Assist with background checks, employment verification, and other pre-employment processes.
  • Prepare new-hire paperwork and coordinate required employment documentation.
  • Help ensure a smooth and professional candidate experience.

Employee Onboarding

  • Assist with onboarding new employees and completing required documentation.
  • Prepare welcome materials, employee files, forms, and onboarding packets.
  • Coordinate orientations and new-hire meetings.
  • Ensure new employees receive information regarding company policies, procedures, benefits, and workplace expectations.
  • Assist with setting up employee accounts, access, equipment, and other onboarding requirements in coordination with appropriate departments.
  • Track completion of required onboarding documentation and training.

Employee Records

  • Maintain accurate personnel files in accordance with company procedures.
  • Enter and update employee information in HRIS and other company systems.
  • Verify records for completeness and accuracy.
  • Organize electronic and physical employee documentation.
  • Assist with document retention and records-management procedures.
  • Retrieve employee records and information when authorized.

Benefits Support

  • Assist employees with routine questions regarding company benefit programs.
  • Help distribute benefits information and enrollment materials.
  • Assist with new-hire benefits enrollment and qualifying life-event changes.
  • Maintain benefits-related records and documentation.
  • Coordinate with benefits providers and internal teams as directed.
  • Help resolve routine benefits-related administrative issues.

Payroll Support

  • Assist with collecting and maintaining payroll-related employee information.
  • Review timesheets, attendance records, and other payroll documentation for completeness.
  • Communicate payroll discrepancies to the appropriate HR or payroll representative.
  • Assist with employee changes that may affect payroll, such as new hires, terminations, promotions, transfers, and compensation changes.
  • Maintain confidentiality when handling compensation and payroll information.

Employee Relations Support

  • Respond professionally to routine employee questions and requests.
  • Direct employee concerns to the appropriate HR representative when additional assistance is required.
  • Assist with employee communications and HR announcements.
  • Help coordinate employee meetings, events, training sessions, and engagement activities.
  • Maintain professional and respectful relationships with employees at all levels.

Compliance and HR Policies

  • Assist with maintaining HR records required for company and legal compliance.
  • Help ensure required employee documentation is complete and properly maintained.
  • Assist with HR audits and compliance projects.
  • Maintain awareness of company HR policies and procedures.
  • Escalate potential compliance issues or sensitive employee matters to HR management.

Required Qualifications

  • High school diploma or GED equivalent.
  • Previous administrative, office, customer service, or HR experience preferred.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and accuracy.
  • Ability to handle confidential and sensitive information professionally.
  • Basic knowledge of Microsoft Office, including Word and Excel.
  • Ability to learn and use HRIS, applicant tracking systems, payroll systems, and other HR technology.
  • Ability to prioritize multiple tasks and meet deadlines.
  • Strong interpersonal and customer-service skills.
  • Ability to work independently and as part of a team.

Preferred Qualifications

  • Associate's or bachelor's degree in Human Resources, Business Administration, or a related field.
  • Previous experience in a Human Resources department.
  • Experience with an HRIS or applicant tracking system.
  • Experience supporting recruiting and onboarding.
  • Knowledge of basic employment and HR practices.
  • Experience handling confidential employee records.
  • Experience with Microsoft Excel and HR-related reporting.
