About the Role 

Neolytix runs its operations on a set of third-party workforce tools, including Dialpad for communication and Hubstaff for time and productivity tracking. These tools only deliver value when they are properly administered and actively used. When licenses go unmanaged or teams aren't using tools correctly, it creates waste and compliance gaps. 

As an IT Systems Analyst, you will wear two hats. The first is platform administrator: you will manage user accounts, assign and revoke licenses, onboard new joiners, offboard exits, and be the go-to person for access and user management across these tools. The second is analyst: you will track adoption, monitor compliance, manage license costs, and produce Excel-based reports and dashboards for IT and management. 

This is an entry-level role open to fresh graduates and candidates with up to 1 year of experience. Strong Excel skills and an organised, detail-oriented approach are the core requirements. You will develop the full scope with guidance from the IT Manager. 

What You'll Do 

Platform Administration & User Management 

  • Create, manage, and deactivate user accounts across Dialpad, Hubstaff, and other assigned tools. 

  • Assign and revoke licenses based on team requirements, role changes, and access levels. 

  • Onboard new employees to tools and ensure timely offboarding of departed staff. 

  • Manage user permissions and access control settings within each platform. 

  • Serve as the first point of contact for user access issues, login problems, and tool-related queries. 

  • Coordinate with tool vendors on admin-level issues, outages, and support tickets. 

Tool Adoption & Compliance Tracking 

  • Track how teams across Neolytix are using each tool: who is active, how often, and whether usage meets expected standards. 

  • Identify and report underutilization or non-compliance to the IT Manager with supporting data. 

  • Monitor adoption trends over time and flag drops or anomalies before they become larger issues. 

  • Coordinate with department heads to understand usage patterns and address adoption gaps. 

License Management & Cost Tracking 

  • Maintain a complete record of all licenses: total seats, active users, inactive seats, and renewal dates. 

  • Track utilization on a rolling basis and flag unused or underused seats to the IT Manager. 

  • Prepare summaries that help the IT Manager make renewal and cost decisions. 

  • Monitor monthly tool spend and flag variances before billing cycles. 

Reporting & Excel Dashboards 

  • Build and maintain Excel-based dashboards and reports covering user activity, adoption rates, license utilization, and cost trends. 

  • Prepare weekly and monthly management reports in a clear, structured format for IT leadership. 

  • Handle ad-hoc data and reporting requests from the IT team accurately and within agreed timelines. 

  • Keep all reports updated on schedule with no stale data. 

What You Bring 

Must-Have 

  • Graduate degree in BBA, MBA, BTech, or equivalent. Mandatory. 

  • MS Excel at a working level: pivot tables, VLOOKUP/XLOOKUP, IF formulas, data cleaning, and structured report building. This is the primary reporting tool for the role. 

  • Organised and process-driven: you manage tasks, follow-ups, and deadlines without being reminded. 

  • Analytical thinking: you can look at a usage table and tell what looks right, what looks off, and what it means. 

  • Attention to detail: your reports and records are always accurate and up to date. 

  • Good written and verbal English for internal coordination, user support, and management reporting. 

Strong Preference 

  • Prior exposure to SaaS tool administration: any experience managing user accounts or access in any platform (even Google Workspace, Zoom, or similar). 

  • Basic understanding of software license models: per seat, per user, concurrent pricing. 

  • Internship or project work involving data, reporting, or IT operations. 

  • Familiarity with Dialpad, Hubstaff, or similar workforce management or communication tools. 

Nice-to-Have 

  • Basic understanding of IT asset or software asset management (SAM) concepts. 

  • SQL: basic querying for data extraction. 

  • Exposure to ITSM or ticketing tools (Freshdesk, Jira, Zendesk, etc.). 

  • Power BI or any other reporting tool familiarity.

  • You are comfortable being the person teams come to with access issues, and you resolve them calmly and quickly.

Eligibility Criteria 

  • Education: BBA / MBA / BTech or equivalent is mandatory. 

  • Excel: functional working level required. Will be tested in the assessment. 

  • Shift: 5:00 PM to 2:00 AM IST, 5 days a week, onsite in Gurugram. Non-negotiable. 

  • Work Mode: fully onsite, Gurugram. No remote or hybrid option. 

  • Notice Period: immediate preferred. Up to 15 days considered. 

Performance Expectations (KPIs) 

In the first 6 months: 

  • User onboarding and offboarding completed within 24 hours of request, consistently. 

  • License registry complete and current within 45 days of joining. 

  • Inactive or underused licenses flagged monthly with supporting data. 

  • Reports delivered on time with zero data errors. 

  • Tool adoption rates tracked by team, with changes flagged proactively. 

  • User access issues resolved within the agreed response window. 

Hiring Process 

  • Stage 1: Talent Management screening. 

  • Stage 2: Practical Excel assessment covering data structuring, reporting, and analytical interpretation. Skills-based, not theoretical. 

  • Stage 3: Interview with the IT Manager covering your assessment output, approach to user management, and analytical reasoning. 

  • Stage 4: Offer.
