Role Summary

Our mission at HubSpot is to help millions of organizations grow better. As the Lead Producer, Academy Labs, you’ll scale that mission globally by bringing HubSpot’s new, hands-on customer education program to life—transforming how customers learn through immersive live experiences.

As a senior member of the Global Events team, you’ll serve as the strategic production lead for 15–20 regional Academy Labs events annually, plus embedded programs at INBOUND and GROW. You’ll build the processes, vendor partnerships, and best practice frameworks that make high-volume, high-quality execution feel effortless and repeatable.

This role blends deep expertise in live event production and experiential design with a focus on operational scalability, cost efficiency, and continuous innovation. You’ll lead the end-to-end production strategy, manage a $1M+ global event portfolio, and shape the attendee journey to create lifelong HubSpot advocates. This role sits at the intersection of program strategy role and production. It is deeply hands-on—you’ll personally own core production logistics, vendor execution, budgets, and on-site delivery for Academy Labs events.

What You’ll Do
  • Lead end-to-end production strategy and execution for Academy Labs regional events, INBOUND, and GROW activations—ensuring every production element reflects HubSpot’s standards for quality and impact.
  • Design scalable systems and processes that simplify complex multi-market execution across 15+ annual events, enabling global consistency and operational excellence.
  • Develop experiential production frameworks that align with business goals (retention, expansion, advocacy) and tie directly to measurable outcomes like ARR growth.
  • Oversee project management across the event lifecycle—timelines, milestones, risk assessment, and stakeholder communication.
  • Lead site search and venue selection strategy across all Academy Labs markets, defining venue criteria, evaluating production feasibility, negotiating contracts, and building a scalable venue portfolio that supports program growth, budget efficiency, and consistent attendee experience.
  • Oversee and actively manage technical production and show flow, including A/V, staging, content management, run of show, and accessibility (ASL/CART) for dual-track, full-day programs.
  • Own vendor strategy and relationships, leading RFPs, contracting, and negotiations to build a preferred global vendor ecosystem capable of scaling with program growth.
  • Manage a $1M+ production budget, including forecasting, allocations, and reporting through our internal budget trackers and systems; ensure all spending aligns with budget and ROI goals.
  • Drive cross-functional collaboration with HubSpot Academy, Customer Success, Community, Enablement, and Brand teams to align production execution with strategic outcomes.
  • Ensure brand and experience consistency across all event elements, collaborating with creative and brand teams to deliver a cohesive look, feel, and message.
  • Develop and mentor peers, setting standards for production best practices, documentation, and process improvement.
  • Monitor program data and insights, identifying trends in cost efficiency, quality, and attendee satisfaction; use findings to evolve and optimize future programs.
  • Lead crisis comms and security planning to ensure operational safety and preparedness across all locations.
  • Lead and facilitate comprehensive post-event review sessions with cross-functional stakeholders, developing structured processes to capture learnings, identify areas for improvement, and document best practices that inform future event strategy and execution.
  • Serve as subject-matter expert in live experiential learning production—advising internal stakeholders on feasibility, innovation, and scalability.
What You’ll BringRequired Qualifications
  • 10+ years of professional experience in live event production, with a proven record of managing multiple complex events simultaneously.
  • Demonstrated success in scaling repeatable, high-quality programs across multiple regions or markets.
  • Strong vendor management expertise, including RFP creation, negotiation, and global contracting.
  • Proven experience managing $1M+ budgets across multi-market event portfolios.
  • Advanced project management skills, with the ability to manage complex timelines, dependencies, and stakeholder communication.
  • Excellent collaboration and leadership skills; proven ability to influence cross-functional teams without direct authority.
  • Ability to anticipate challenges and make fast, effective decisions under pressure.
  • Flexibility to travel up to 40% across NAM, EMEA, and APAC and work non-standard hours to support event execution.
Nice-to-Have Qualifications
  • Experience producing customer education, enablement, or training events.
  • Familiarity with HubSpot software and CRM systems.
  • International event and budget management experience.
  • Background in B2B SaaS or technology industry events.
  • Passion for creating engaging, inclusive, and accessible attendee experiences.
Where You’ll Work
  • Location: US
  • Work Type: Remote with 40% travel for events.
  • Schedule: Flexible hours required during event season and across regional time zones.
  • Travel Requirements: Several times per year across North America for onsite event execution plus occasional international travel.
Application Requirements
  • Deadline: Applications must be submitted by Tuesday, February 17th at 5pm ET.
  • Language: English.
  • Cover Letter: Optional.
