In this role, you'll work directly with our General Counsel, who currently runs legal, finance, HR, tax, and compliance as a one-person function, and you may also provide support to our CEO and COO. Your job is to take the repeatable, detail-heavy work off their plates and, over time, own more of it. You'll touch contracts, client billing, compliance, day-to-day operations, and the things that make this a great place to work, and you'll get broad, hands-on exposure to how a business runs.
As part of a small team, you'll have real ownership from day one and your work will have an immediate and outsized impact. This is a rare seat for someone looking to take on broad ownership, grow fast, and become the person who “just handles it.”
We're a mostly remote team. This role has two set in-office days each week — one in our NYC office and one in our South Norwalk, Connecticut office — to stay in close contact with the leadership team you'll support. The remaining days are remote.
What You'll Do
Contracts & legal ops: Intake, organize, assist with, and track client agreements; route documents for e-signature; maintain our contract database and keep renewal and obligation dates from slipping.
Billing & revenue operations: Help run the client invoicing cycle, preparing and reconciling invoices against signed contract terms, keeping our CRM accurate, and flagging anything that doesn't tie out.
Compliance & corporate housekeeping: Maintain compliance and entity calendars, help assemble documentation, and keep our records clean and audit-ready.
Operations & executive support: Own recurring processes, keep projects moving, and provide scheduling, inbox, and document support so nothing falls through the cracks.
Culture & team experience: Help make Vola a place people love working! Plan company events and look for small ways to improve everyone's day-to-day. Manage the office experience and facilitate travel arrangements for employees.
Work smart with AI: Use modern AI tools to move faster on drafting, data entry, and research, without sacrificing accuracy or quality.
Build, don't just do: As you learn each process, help us document and improve it so it runs reliably every time.
Who you Are
You have a bachelor's degree, or equivalent practical experience that demonstrates the same diligence and follow-through.
You don't need years of experience. You need to be sharp, meticulous, and hungry to learn. We're open to any background, including those newer to the workforce or making a considered career change.
You are relentlessly detail-oriented. You double-check numbers and dates because you can't stand getting them wrong, and a misquoted figure bothers you.
You are comfortable with AI tools. As a small team, we lean on AI to work efficiently, but we hold a very high bar for accuracy and quality. You should be eager to use these tools and disciplined about verifying their output, never letting a tool's convenience become an excuse for a wrong number.
You are a people person who cares about culture. You notice when something would make the team's day better, and you enjoy making it happen.
