Position Summary

The Benefits Manager is responsible for the administration, compliance, and continuous improvement of the Company's employee benefits programs. This role serves as the subject matter expert for benefit plan administration within ADP Workforce Now, ensuring data integrity, regulatory compliance, accurate payroll deductions, and exceptional employee support.

The Benefits Manager partners closely with Human Resources, Payroll, Finance, external brokers, carriers, and third-party administrators to oversee all aspects of benefits administration, leave management, reporting, annual renewals, mergers and acquisitions, and system optimization.

Essential Duties & Responsibilities

Benefits Administration

  • Serve as the primary administrator for the ADP Workforce Now Benefits module, maintaining benefit plan configurations, eligibility rules, workflows, system testing, and ongoing enhancements.
  • Configure, maintain, and administer all employee benefit programs including medical, dental, vision, life, disability, voluntary benefits, FSA/HSA, and retirement plans.
  • Process employee benefit elections, qualifying life events, new hires, transfers, and terminations in accordance with plan documents and eligibility requirements.
  • Monitor, audit, and reconcile benefit deductions with Payroll to ensure accurate premium withholding and timely issue resolution.
  • Audit monthly carrier invoices and reconcile enrollment, deductions, and premium billing to ensure financial accuracy.
  • Coordinate benefit eligibility audits and maintain the integrity of employee benefit data within ADP Workforce Now.
  • Manage relationships with benefit carriers, brokers, third-party administrators, COBRA administrators, and other vendors to ensure high service levels, accurate data exchanges, timely issue resolution, and compliance with service agreements.
  • Lead annual Open Enrollment activities, including system configuration, testing, employee communications, reporting, and post-enrollment audits.
  • Partner with brokers and leadership during annual benefit renewals by supporting plan design evaluations, benchmarking, cost analysis, and implementation of approved changes.
  • Support benefits-related activities associated with mergers and acquisitions, including due diligence, benefit comparisons, employee communications, vendor coordination, system integration, compliance reviews, and onboarding of newly acquired employee populations.


Leave Administration

  • Administer and oversee employee leaves of absence, including FMLA, ADA accommodations, short-term disability, long-term disability, workers' compensation coordination, and applicable state leave programs.
  • Coordinate leave administration with employees, managers, Payroll, Human Resources, and third-party administrators to ensure timely communication, benefit continuation, payroll deductions, and regulatory compliance.
  • Monitor leave eligibility, documentation requirements, return-to-work processes, and ongoing compliance with federal, state, and local leave regulations.


Compliance & Reporting

  • Ensure compliance with ACA, ERISA, COBRA, HIPAA, Section 125, FMLA, and all applicable federal and state regulations.
  • Generate, analyze, and maintain ACA measurement, look-back calculations, affordability reporting, and 1095-C reporting within ADP Workforce Now.
  • Prepare and submit EEO-1 reporting and other required federal, state, and local compliance filings.
  • Coordinate PCORI fee filings and ensure timely submission and payment.
  • Support internal and external audits by preparing required documentation and responding to audit requests.
  • Develop recurring dashboards, reports, and executive metrics related to enrollment, participation, leave activity, compliance, utilization, and benefit costs.


Employee Support

  • Serve as the point of contact for employee benefit inquiries, resolving complex issues and escalating concerns when appropriate.
  • Educate employees on benefit programs, enrollment processes, qualifying life events, leave administration, and system navigation.
  • Develop employee communications, benefit guides, FAQs, and educational resources to improve understanding and engagement with company benefit programs.


Qualifications & Experience

  • Bachelor’s degree in human resources, Business Administration, or related field (or equivalent experience).
  • Five (5) to seven (7) years of progressive experience administering employee benefit programs, preferably in a multi-state environment.
  • CEBS (Certified Employee Benefit Specialist) or CBP (Certified Benefits Professional) Certifications preferred.
  • Demonstrated experience serving as the primary administrator of ADP Workforce Now Benefits or a comparable HRIS platform; ADP Workforce Now strongly preferred.
  • Prior experience supporting benefit integration activities during mergers and acquisitions, including due diligence, data validation, employee onboarding, and system implementation.
  • Strong working knowledge of ACA, COBRA, ERISA, HIPAA, FMLA, Section 125, ADA, and applicable federal and state leave regulations.
  • Experience administering disability and leave of absence programs in partnership with third-party administrators.
  • Advanced Microsoft Excel skills with experience analyzing large datasets, reconciling benefit information, and producing executive-level reports.
  • Strong analytical, organizational, and problem-solving skills with exceptional attention to detail.
  • Excellent communication and customer service skills with the ability to explain complex benefit concepts to employees at all levels of the organization.
  • Experience managing vendor relationships, carrier billing reconciliations, and benefit compliance reporting.
