Primary Responsibilities
- Support tradeshow coordination with pre- and post-conference actions including registrations, travel plans, ordering equipment/supplies (i.e. carpet, lead retrieval, etc.), maintain calendars/spreadsheets for events and promotional items for KOL’s.
- Assist Sales Team with lead follow-up correspondence from Labs and industry events.
- Coordinate the full cycle process for Representative Training Events with cross functional department.
- Support Clinical team in tracking data to include maintaining (input and update) information on status of cases and doctors.
- Support Clinical team with bio skills lab session by supporting the lab manager as point of contact for general requests, tracking and maintaining information on maintain master schedule for company-wide labs and support in generating certificates and tracking for all lab attendees.
- Handle miscellaneous administrative duties including answering phones, scheduling meetings, making copies, collating sorting, unpacking marketing material, scheduling meetings/lab sessions, counting marketing material inventory, cover reception desk as backup support, etc.
- Keeping track of marketing product inventory.
- Support members of the Marketing team (creative and social media) in administrative support to their projects/initiatives.
- Complete other projects and duties as assigned.
Qualifications:
- High School diploma or GED Required.
- Bachelor’s degree in marketing, communications, public relations or related field preferred.
- Minimum 1-year experience in marketing, medical device industry a plus.
- Proven success in managing multiple projects and prioritizing tasks effectively.
- Exceptional communication (both written and verbal).
- Basic understanding of working with a budget and accounting.
- Proven success with troubleshooting and providing excellent support for resolution.
- Ability to work independently and collaborate effectively cross functionally within the organization including executive leadership.
- Detail oriented and excellent follow through abilities are essential
- Self-motivation with a proactive, problem-solving mindset is required.
- Computer skills: Solid experience with MS Office, Canva, Internet, Adobe and CRM/ERP programs.
Other Requirements
- Must be able to lift up to 25 pounds on a regular basis.
- This is an on-site role based in Baldwin, NY with the expectation for the role to be moved to our Woodbury location on or before December 31, 2026.
