Job Description
About the Role
On The Stage is looking for a highly organized, detail-oriented Marketing Campaign Coordinator to execute integrated campaigns that generate demand, engage prospects, and contribute to pipeline growth.
This is a hands-on role for an early-career marketer who enjoys turning plans into polished, measurable campaigns. You will coordinate email and webinar programs, manage day-to-day campaign operations in HubSpot, collaborate with our paid digital advertising agency partner, support social distribution, and monitor performance across HubSpot and Salesforce.
The ideal candidate combines strong project management and communication skills with curiosity about marketing technology and data. You do not need to arrive as an expert in every system, but you should be comfortable learning new platforms, troubleshooting execution issues, and using performance data to improve your work.
What You'll Do
Email Campaign Execution
- Build, test, schedule, and deploy prospect and customer email campaigns in HubSpot.
- Maintain campaign calendars and coordinate copy, creative, audience lists, segmentation, approvals, and launch dates.
- Create and maintain lists, workflows, forms, landing pages, and campaign records.
- Perform quality assurance across links, personalization, formatting, suppression logic, tracking, and mobile rendering before launch.
- Monitor deliverability, opens, clicks, conversions, and downstream lead and pipeline performance.
- Support segmented, lifecycle, sponsored, and re-engagement email programs.
Webinar Campaigns
- Coordinate webinar campaigns from initial setup through post-event follow-up.
- Build registration pages, forms, confirmation and reminder emails, attendee lists, and on-demand follow-up campaigns.
- Manage webinar logistics, including speaker coordination, rehearsals, recordings, and attendee reporting.
- Ensure registrant and attendee data flows accurately into HubSpot and Salesforce.
- Publish recordings and coordinate post-webinar email, social, and sales follow-up.
Conferences and Trade Shows
- Coordinate with associations and vendor partners to secure OTS presence at industry events.
- Manage logistics for attending, such as booth shipping, giveaways swag orders, and printed materials to ensure orderly arrival and sufficient quantities.
- Receive or generate attendee lists and facilitate pre- and post- show outreach to help secure meetings on site.
- Coordinate with Sales and Customer Success team members for list outreach, attendee engagement, pre-show prep and talking points, and travel logistics.
- Manage campaign monitoring and tracking in Hubspot and Salesforce to report on success.
Paid Digital & Vendor Coordination
- Serve as the day-to-day marketing contact for OTS's paid digital advertising partner.
- Coordinate campaign briefs, creative assets, audience inputs, landing pages, tracking requirements, approvals, and launch timelines.
- Review campaign pacing and performance with the vendor, surface questions or issues, and keep internal stakeholders informed.
- Assist with organic and paid social campaign execution across major social platforms.
Reporting & Performance Monitoring
- Build and maintain recurring reports and dashboards in HubSpot and Salesforce.
- Monitor HubSpot <> Salesforce data flow and escalate sync, segmentation, routing, or campaign member issues.
- Track campaign metrics such as engaged leads, demo requests, conversion rates, cost per lead, webinar registrations and attendance, sales opportunities, and marketing influenced pipeline.
- Monitor progress against campaign goals and flag risks, anomalies, or underperformance early.
- Prepare clear campaign recaps that explain what happened, what was learned, and what should change next time.
- Partner with Marketing, Sales, and GTM Operations to improve visibility from initial engagement through pipeline.
Cross-Functional Campaign Coordination
- Work closely with Marketing, Sales, GTM Operations, Customer Success, and external partners to keep campaigns moving.
- Manage multiple timelines, dependencies, and approvals without sacrificing quality.
- Organize campaign assets and maintain accurate records in OTS's project management and documentation systems.
- Proactively communicate status, blockers, decisions, and next steps.
Qualifications
What We're Looking For
Required Qualifications
- Bachelor's degree in Marketing, Communications, Business, or a related field.
- 1–3 years of experience in marketing, campaign coordination, demand generation, marketing operations, or a related role.
- Experience executing email or integrated marketing campaigns.
- Familiarity with HubSpot or another marketing automation platform.
- Working knowledge of CRM concepts and the relationship between marketing activity, contacts, accounts, opportunities, and pipeline.
- Ability to build reports, interpret campaign performance, and communicate findings clearly.
- Strong project-management and organizational skills, with exceptional attention to detail.
- Clear written and verbal communication skills.
- Ability to manage multiple deadlines and collaborate effectively with internal stakeholders and external vendors.
- A proactive, solutions-oriented mindset and willingness to learn unfamiliar systems.
Systems & Platform Familiarity
- Marketing automation platforms (we use HubSpot Marketing Hub)
- CRM platforms (we use Salesforce)
- Webinar hosting platforms (we use Zoom Webinars)
- Social media platforms and publishing tools
- Google suite of Docs, Slides, Sheets, and more
- Project-management and documentation tools (we use Notion, Slack)
Preferred Qualifications
- Hands-on experience building emails, lists, forms, landing pages, workflows, campaigns, and reports, preferably in HubSpot
- Experience planning and coordinating webinars or virtual events.
- Experience running paid ad campaigns across various networks, or coordinating with an external marketing vendor.
- Familiarity with UTM parameters, conversion tracking, lead attribution, and campaign taxonomy.
- Experience in B2B SaaS or related technology company
- Experience in or passion for live entertainment, theatre, performing arts, and education a huge plus
- Basic familiarity with Canva or similar creative tools.
