MARKETING COORDINATOR

Overview

Vocon is a growing, collaborative, relationship-driven design practice built on a people-first culture and trusted client partnerships with offices in New York, Cleveland, and Chicago. We are looking for a Marketing Coordinator in our East Region who understands the A/E business, moves fast without losing quality, and brings their own curiosity to the work.

This is a hands-on role supporting marketing, business development, and PR and communications efforts out of our New York office. You will work closely with designers, strategists, and firm leadership across proposal development, client pursuits, and content that reflects Vocon's voice in the market.

What you bring

Three to five years of marketing experience within the A/E industry or adjacent professional services. Candidates with sector exposure in corporate workplace, financial services, law, media and technology, or retail environments will stand out, since we work across all of them.

We are looking for a clear communicator and creative thinker who steps up, pitches in, and genuinely enjoys working with a collaborative team. 

Responsibilities

Proposals, RFP / RFQ Responses and Presentations

  • Organizes, coordinates, and controls activities involved in preparing marketing proposals, presentations, and submittals, ensuring on-time delivery.
  • Working with principals, senior staff, and other marketing team members, as needed, to design, write and produce proposals, presentations, and other marketing collateral in alignment with brand standards.
  • Quality – Responsible for grammar, editing, voice and tone of the document and managing the proposal production to allow enough time for this review.
  • Completes and/or directs the completion of client questionnaires, qualifying statements and government forms as required. Work often involves composing or editing answers to technical, essay-type questions.
  • Establishes and manages timelines and assignments as needed to complete effective submittals.
  • Coordinates or obtains information needed from consultant firms to be included in proposals or at presentations.
  • Research project details, such as construction costs, size, client references, etc.
  • Provide graphics support for presentations and specialized pieces, often in conjunction with our internal graphics team.
  • Research client and Vocon’s internal relationships, issues and trends with their business.
  • Understanding and learning Vocon’s portfolio of work, areas of practice, and firm-wide capabilities. Seek out the firm’s best practices for use in proposals.
  • Manage project close-out – save information that will be valuable for future proposals.

Marketing Materials, Tools, Supplements

  • Participates in the development of and is responsible for maintaining all marketing resource materials, brochures, data, color copies, photographs, files, and client database.
  • Assist with conference/seminar presentations.
  • Develop new materials to support business development activities.
  • Create new image and qualification sheets as needed.
  • Coordinates work with outside vendors (electronic transfer of data, reprographics, binding, etc.) and consultants.
  • Writes and/or updates new project and personnel resumes to be used for marketing purposes.
  • Seeks and incorporates new references into marketing submittals.
  • Participates in updates to website content and coordinates with the consultant when required.
  • Participates in our social media initiatives by writing and posting content, coordinating with internal and external stakeholders. Resources for content input and coordination with outside consultants as required.
  • Coordinate project and personnel information to be provided to the public relations consultant.

General Administrative

  • Print, collate & bind materials.
  • Assist with photography efforts by contacting consultants to secure their participation and forwarding required correspondence.
  • Assist with research and submissions for awards programs.
  • Assist with event coordination.
  • Attend pre-proposal conferences, professional meetings or other marketing-related events as appropriate.
  • Helps develop and manage new marketing technologies and their use to the firm’s advantage. Balance its use with streamlining work effort for greater productivity and efficiency.
  • Sees that supplies and equipment for marketing efforts are maintained and ready to go at a moment’s notice
  • Update and create new companies and contacts in Vocon’s CRM (Cosential).

Capabilities

  • Excellent written and verbal communication skills, including creating effective presentations, technical writing and marketing collateral. Strong editing and proofreading skills a must
  • Ability to provide strategic thinking and recognize competitive advantage opportunities for Vocon, leveraging these into marketing pitches
  • Self-motivator with strong organizational and intra-personal skills, and a great collaborator
  • Experience working directly with senior staff on business-critical projects with minimal supervision
  • Strong organizational skills to coordinate and manage multiple projects and deadlines
  • Ability to work with diverse project teams and in a fast-paced work environment
  • Strong graphic communication and design skills
  • A high degree of competency in Adobe Creative Suite (InDesign, Photoshop, Illustrator) is a must
  • Proficiency in Microsoft Office (Word, Excel, and PowerPoint) is required

Requirements

  • Minimum 2+ years of professional experience in a marketing position with a design or professional services firm
  • Bachelor's degree in Journalism, Business, Architecture, Interior Design, Graphic Design, Communications or Marketing
  • Other duties and responsibilities may be assigned
