Title: Nursing Clinical Coordinator Administrative Support
Description: Under the supervision of the Department Chair, the Nursing Clinical Coordinator Administrative Support person provides administrative and operational support for the coordination of faculty supervised and precepted clinical and field experiences. The position assists with clinical placements, affiliation agreements, compliance tracking, documentation, scheduling, and communication with faculty, students, and clinical partners.
Responsibilities:
Develops and maintains positive relationships with clinical affiliates and agency personnel
  • Works with Course Coordinators and the Department Chair to identify current and anticipated clinical placement needs.
  • Assistants with identifying and maintaining clinical placement opportunities.
  • Serves as a primary administrative contact for clinical agencies and provides timely communication with agencies, faculty, and students.
  • Coordinates the development, renewal, and maintenance of affiliation agreements.
  • Provides agencies with required documentation, including insurance certificates, student clearance information, schedules, and contact information.
  • Coordinates communication to secure clinical learning experiences.
  • Assists with coordinating site orientations and required training.
  • Communicates concerns or issues to the Department Chair and appropriate Course Coordinator.
  • Coordinates agency participation in School of Nursing events and recognition activities.
  • Prepares follow-up correspondence with clinical partners.
Coordinates clinical placements and scheduling
  • Assists in developing clinical schedules based on enrollment, course needs, and site availability.
  • Prepare draft schedule for review by Course Coordinators and the Department Chair.
  • Distributes finalized schedules and related information to faculty, students, and clinical agencies.  
  • Serves as the administrative contact for scheduling changes.
  • Collaborates with the School of Nursing Office Coordinator regarding accommodations and travel arrangements when applicable.
Supports senior capstone and internship coordination
  • Coordinates informational meetings and communications for eligible students.
  • Maintains current capstone and internship records
  • Maintains a database of approved clinical affiliates and preceptors.
  • Coordinates communication between students, faculty, and agencies regarding placements.
  • Assists with affiliation agreements and required documentation.
  • Communicates placement information to students.
  • Coordinates student files and distributes materials to faculty advisors.
Coordinates clinical compliance requirements
  • Collaborates with the School of Nursing Office Coordinator to monitor student clinical clearance requirements
  • Maintains accurate compliance records
  • Coordinates communication regarding required documentation and deadlines.
  • Assists students with accessing required health services and training.
  • Communicates compliance concerns to appropriate faculty and administrators
Supports adjunct clinical faculty
  • Assists with onboarding new adjunct clinical faculty.
  • Coordinates distribution of departmental resources, schedules, and required documentation.
  • Serves as an administrative resource regarding clinical logistics.
  • Refers academic or personnel matters to the appropriate Course Coordinators or Department Chair.
Coordinates student and faculty clinical clearance requirements
  • Provides reminders regarding clinical documentation and deadlines.
  • Maintains CPR certification records.
  • Maintains records related to required certifications, training, and malpractice coverage.
  • Coordinates mandatory education, agency training, and orientation requirements.
  • Schedules CPR certification opportunities.
  • Coordinates annual flu vaccination documentation.
  • Provides agencies with required attestation documentation.
Assists with clinical program assessment and record management.
  • Maintains clinical placement evaluation records.
  • Assists with distributing surveys and collecting data related to clinical experiences.
  • Compiles reports and summary data for Department review.
  • Maintains records related to preceptors, agencies, and student placement.
  • Assists with documentation needed for accreditation and program assessment activities.
Performs general administrative support for clinical education.
  • Maintains clinical databases and tracking systems.
  • Organizes electronic and paper records
  • Prepares reports, correspondence, and meeting materials.
  • Assist with departmental projects related to clinical education operations
  • Supports continuous improvement of administrative process
Performs other duties as assigned.
Participate in significant campus activities including Welcome Week, TrueBlue Weekend, and Commencement Weekend.
Complies with all applicable College, Federal, State, local and accrediting agency laws, rules and regulations.
As a representative of the College, comport oneself in a professional manner at all times, both on and off campus.
Qualifications
Minimum requirements for this position are a high school diploma or equivalent.  An Associate’s or Bachelor’s degree in business, healthcare administration, or a related field is preferred.
  • Experience providing administrative support in an educational, healthcare, or professional office setting is preferred.
  • Experience coordinating schedules, maintaining records, and managing multiple priorities.
  • Strong proficiency with Google Workspace, including Gmail, Google Calendar, Google Drive, and shared drives, with the ability to manage multiple calendars, organize electronic files, and collaborate effectively using shared documents.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and database management systems.
  • Ability to learn and use institutional software, document management systems, and other technology platforms.
  • Excellent organizational skills with strong attention to detail and accuracy
  • Strong written and verbal communication skills.
  • Ability to establish and maintain positive working relationships with students, faculty, staff, and external partners.
  • Ability to manage multiple projects, meet deadlines, and adapt to changing priorities
  • Ability to work independently while collaborating effectively as a member of a collaborative team.
  • Demonstrated professionalism and commitment to maintaining confidentiality.
Wage Range: $23.00 - $25.00
