About The Role
EliseAI is looking for an Office Operations Assistant to work closely with our People Operations team in an administrative and facilities capacity. You’ll ensure the workplace is welcoming, efficient, and well-organized, while proactively supporting employees, visitors, and leadership, maintaining a high-quality office experience for all EliseAI employees.
Key Responsibilities
Office & Facilities Support
Oversee the daily office operations, including workspace organization, seating chart management, and upkeep of conference rooms and common areas
Collaborate with People Ops and IT in setting up desks and equipment for new hires
Own the coordination of seating assignments and desk moves for new hires and internal transfers in collaboration with team managers
Ensure storage spaces and common areas are organized and functional
Monitor cleanliness and maintenance needs; support coordination of repairs with vendors
Employee, Visitor & Security Support
Serve as the primary in-person support resource for employees and visitors
Provide general assistance, including wayfinding, hospitality, and employee requests
Own keycard lifecycle: issuing, deactivating, and tracking employee and visitor access
Handle packages, deliveries, shipping, and office equipment and resource requests
Support in the set up and organization of daily group lunch order through Grubhub Corporate
Vendor & Supplies Coordination
Support leadership in ordering and setting up new office furniture (e.g., desks) or coordinating repairs
Stock and monitor supply levels, maintain an inventory list, and place timely orders including kitchen supplies
Support vendors while onsite, ensuring proper access and adherence to protocols
Travel & Event Support
Support travel coordination for employees and guests, including booking flights, hotels, and local transportation
Assist with ordering meals or catering for meetings, training, and team events
Support logistics for visiting candidates, vendors, and executives
Office Moves, Events & Physical Support
Support office moves, seating changes, and space reconfigurations
Assist with moving, lifting, setting up, and organizing office furniture and equipment
Support setup and teardown for office events and team activities
Support basic maintenance tasks such as assembling furniture, organizing storage, and restocking supplies
Support ad hoc requests from different teams, including events, resources, and other cross-functional office needs

Requirements
Strong organizational skills with attention to detail
Ability to manage multiple tasks and prioritize effectively in a fast-paced environment
Strong communication and interpersonal skills for working with employees, vendors, and visitors
Problem-solving mindset with a proactive, hands-on approach
Basic technical aptitude for furniture assembly, office equipment, and access systems
Ability to manage travel logistics and food ordering with accuracy and efficiency
Ability to perform manual labor, including occasional heavy lifting
Timely and consistent attendance
Completes tasks efficiently and accurately with minimal supervision
Approachable, friendly, and team-oriented
Proactively asks, “What else can I support?” to improve the office environment
Willingness to work in person at our office 5 days a week

Job Compensation Range
The hourly rate for this role ranges between $20-$30 per hour. EliseAI offers a competitive total rewards package which includes base salary, equity, and a comprehensive benefits & perks package. Exact compensation is determined based on a number of factors including experience, skill level, location and qualifications which are assessed during the interview process. Additional details about total compensation and benefits will be provided by our Recruiting Team during the hiring process.
