Operations Coordinator – Hydropower 

Position Summary

The Operations Coordinator plays a key role in supporting day-to-day operations across multiple hydroelectric sites. This position provides administrative, procurement, and coordination support to field operations, ensuring materials, services, and documentation flow efficiently to support safe and reliable plant operations.

This role requires strong attention to detail, the ability to manage multiple priorities, and comfort working in a fast-paced operational environment. The Operations Coordinator works closely with field technicians, operations leadership, project management, vendors, and finance to support purchasing, tracking, reporting, and compliance-related supporting functions.


Essential Job Responsibilities

  • Procurement & Purchasing Support
  • Create and manage purchase orders (POs) in NetSuite in support of site operations and maintenance activities
  • Coordinate procurement of parts, materials, tools, and services for multiple hydro sites
  • Obtain vendor quotes and assist in vendor selection based on pricing, availability, and operational needs
  • Track order status and ensure timely delivery of materials to field locations
  • Maintain accurate purchasing records and documentation
  • Reconcile invoices against purchase orders and resolve discrepancies
  • Assist with vendor onboarding and maintain vendor records

Operations & Site Support

  • Coordinate logistics and administrative support for multiple hydroelectric facilities
  • Support scheduling of vendors, contractors, and site visits
  • Maintain operational records, documentation, and site files
  • Assist operations leadership with tracking maintenance and project-related tasks
  • Support regulatory and compliance documentation as needed
  • Coordinate shipping and receiving activities, including tracking deliveries

Financial & Administrative Support

  • Enter and maintain operational and purchasing data in company systems
  • Support invoice processing and expense tracking
  • Assist with budget tracking and reporting support
  • Maintain organized electronic and physical records
  • Generate reports and summaries as requested by operations leadership

Communication & Coordination

  • Serve as a point of contact between field operations, vendors, finance, and leadership
  • Communicate purchase status updates and logistics details to operations teams
  • Support internal coordination across departments
  • Assist with meeting coordination and documentation as needed

Essential Job Requirements

Required Skills & Experience

  • 3+ years of administrative or operations support experience
  • Experience supporting operations, maintenance, construction, or industrial environments preferred
  • Demonstrated experience with procurement and purchasing processes
  • Proficiency using NetSuite strongly preferred
  • Strong organizational and time-management skills
  • High attention to detail and accuracy
  • Ability to prioritize tasks and manage multiple requests simultaneously
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Excel, Microsoft Word, and Microsoft Outlook
