DataBank is seeking an Operations Support Specialist to join our Data Center Operations Business Operations (BizOps) team. In this role, you will help support the daily operational needs of the organization by maintaining and improving our SharePoint Knowledge Base, supporting reporting and dashboard initiatives, and assisting with business analysis activities.

This position plays a key role in ensuring operational documentation remains accurate, accessible, and aligned with company standards while also helping teams better understand operational data through dashboards, reporting tools, and analytics platforms.

The ideal candidate is organized, detail-oriented, technically curious, and comfortable working across multiple teams to support operational excellence and continuous improvement initiatives. 



 Responsibilities 


Knowledge Base & Documentation Support:

  • Maintain and update SharePoint Knowledge Base articles, procedures, standards, and operational documentation.
  • Review existing documentation for accuracy, formatting consistency, and process alignment.
  • Collaborate with subject matter experts to gather, verify, and publish technical and operational information.
  • Help ensure documentation follows organizational standards and remains current through regular review cycles.
  • Support the organization and structure of digital documentation libraries and internal resources.
  • Create flowcharts, diagrams, screenshots, and visual aids to improve process understanding.

Reporting & Business Support:

  • Assist with the development and maintenance of dashboards, reports, and operational metrics.
  • Support business analysts with data gathering, validation, reporting, and process tracking activities.
  • Help identify trends, inconsistencies, and opportunities for operational improvement through data analysis.
  • Utilize tools such as Sigma, SQL, Power BI, Excel, or similar reporting platforms to support operational reporting needs.
  • Assist with maintaining reporting accuracy and validating operational data sources.

Operational & Team Support:

  • Support cross-functional operational initiatives and process improvement efforts.
  • Assist with tracking action items, project updates, and operational follow-ups.
  • Provide administrative and coordination support for operational programs and initiatives.
  • Help develop user-friendly guides, reference materials, and training documentation.
  • Communicate effectively with teams across multiple departments and operational groups.

Continuous Improvement:

  • Stay informed on emerging tools, technologies, and best practices related to documentation management and business analytics.
  • Identify opportunities to improve documentation workflows, reporting visibility, and operational efficiency.
  • Adapt to evolving business needs and support additional operational initiatives as assigned.


Preferred Qualifications

  • Experience working with Microsoft SharePoint and Microsoft 365 applications.
  • Experience in creating SharePoint Flows and Automations.
  • Understanding of how to create Power Apps for SharePoint.
  • Familiarity with dashboarding and reporting platforms such as Sigma, Power BI, Tableau, or similar tools.
  • Basic knowledge of SQL and data analysis concepts preferred.
  • Strong organizational skills with exceptional attention to detail.
  • Experience maintaining documentation, knowledge bases, or digital content libraries.
  • Ability to create diagrams, workflows, charts, and visual process documentation.
  • Strong written and verbal communication skills.
  • Comfortable collaborating with technical and operational teams.
  • Ability to manage multiple priorities and work independently.
  • Experience in operations, business support, business analysis, or data center operations preferred.
  • Knowledge of process improvement concepts and operational workflows is a plus.
