Executive Assistant, Cities
About the Role:
Cities by We is a new initiative within the We Company with the goal of measurably improving lives in cities through nature, design, technology, & community.
We are looking for an organized, calm, discreet, adaptable executive assistant who thrives in a fast-paced environment and who is excited by the opportunity to be part of a rapidly growing team. This person will support the Cofounder, and another C-Suite executive.
Responsibilities:
Managing daily calendars, showing flexibility and problem-solving abilities to adjust or prioritize schedules based to last-minute changes.
Act as liaison with all levels of management, senior experts from across the company, high profile clients, and external stakeholders from all aspects of the art business to disseminate information to and from the Executives.
Travel, event planning, and coordination for individuals and groups.
Organize complex, domestic and international travel arrangements including passport/visa requirements.
Organize and support meetings, teleconferences, off sites, and other events as needed.
Provide strategic administrative & project management support.
Ensure the executive is prepared & organized for all meetings, events & speaking arrangements.
Prepare and process Expense Reports and T&E and PE reports accurately and on a timely basis, ensuring AMEX bills are paid on time via Concur.
Maintain business and personal files and mail as required
Partner with Chief of Staff and other Executive Assistants to assure coverage and coordination for the senior leadership team
Anticipate needs, and take a proactive approach for getting stuff done
Support executives with team-related administration and project management
Support orientation and training for new hires
Promote team culture through offsites and events
Filter emails for Executive
Go to contact for maintenance, mailing, shipping, supplies, equipment, bills and errands.
Review and approve office supply and consumables purchasing
Qualifications:
Proven experience as an executive administrative assistant in a hyper growth environment
College degree (BA/BS) in a related field
