Role Overview:

We are looking for an organized self-starter, who can help run our day-to-day office functions at Attune. In this unique role, you will have the opportunity to work closely with the leadership team and gain exposure to nearly every facet of the company. If you work well in a fast-paced, team-oriented environment, and enjoy getting down in the trenches to get even the most detailed tasks done, then this is the role for you.

Specific responsibilities include:

Leadership support:

  • Coordinate daily calendars of some members of the executive team
  • Assist with scheduling team meetings
  • Assist with travel coordination for executive team

Office Support:

  • Greet and welcome guests
  • Assist with coordinating internal office events- bday cakes, lunches, etc
  • Oversee inventory of office supplies
  • Manage conference room scheduling
  • Handle and route incoming and outgoing mail
  • Arrange building access for visitors and consultants, solve access issues
  • Maintain relationship with building management
  • Coordinate office shipments
  • Support procurement process
  • General filing and record keeping
  • Create and submit expense reports on behalf of executive team
  • Arrange candidate travel
  • Assist with ad-hoc projects with facilities and operation teams (such as inventory lists)
  • Schedule in-person, phone, and/or video interviews, and host candidate visits 
  • Partner with IT to troubleshoot minor office issues
  • Assist with onboarding, such as initiating background checks

Qualifications for success:

  • 2+ years of experience as a senior-level administrative assistant or applicable office management function.
  • Organization. Like most start-ups, there’s a lot to do, and you’ll be wearing a lot of hats. Staying impeccably organized will help you achieve your daily goals, and surmount the bigger goals, too.
  • Discretion and Trust. Maintaining confidentiality and building trust at all levels is critical. You will have access to information that isn’t meant for everyone’s eyes.
  • Verbal and Written Communication Skills. You will be communicating with some of the biggest names in the business on behalf of our leadership team. Representing Attune with intelligence and integrity is a must.
  • Works well autonomously and under pressure We’re still pretty small, and as the new go-to person in the administrative function, the team will be submitting requests that may need to get done quickly and without too much guidance.
