Establish productive relationships with C-level executives to work as collaboratively as possible

  • Ensure priorities are managed; daily and long-term requests are addressed
  • Proactively manage professional calendars
  • Manage meeting logistics including booking and prepping rooms, creating and preparing necessary materials, organizing catering, providing conference call details, taking detailed notes, and welcoming external guests
  • Manage and submit monthly expense reports
  • Coordinate international and domestic travel logistics including flight itineraries, hotel rates and reservations, car services, and international phone plans in accordance with personal travel preferences 
  • Conceive and organize company events such as catering for client meetings, company events, dinners, offsite meetings, and retreats
  • Placing orders, updating executive contact lists, conducting research
  • Partner with the Office Coordinator to make sure conference rooms are clean and in good condition for meetings

Skills, Talents, Experience you will need:

  • Bachelor's Degree
  • 2+ years experience as an Executive Assistant
  • Positive, proactive, and collaborative team player
  • Must be a highly organized and solutions-driven with ability to see the big picture
  • Ability to handle multiple priorities at once, manage time effectively, and maintain composure in a fast-paced environment
  • Excellent verbal and written communication skills
  • Ability to work a varied schedule 
  • History of successfully managing multiple tasks while meeting challenging deadlines
  • Ability to interact and communicate with all levels of staff and management
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Well-developed ability to effectively respond to sensitive issues, complex inquiries in a timely manner with tact, diplomacy and the strictest confidentiality
