As the Office Manager for JW Player, you will handle all things office & facilities operations as you support all departments across the company to ensure the office is running smoothly. You will work closely with company stakeholders, employees and external vendors and drive the overall optimal function of our offices. This role supports the NYC HQs and our international offices. We are looking for a highly motivated candidate who is enthusiastic, reliable and a self-starter. This role will manage the Office Coordinator.


In this role you will:

  • Ensure adequate inventory of office supplies, stationery, office furniture, kitchen supplies, and special event supplies
  • Coordinate office seating arrangements for new hires, temporary onsite clients/contractors, and visitors.
  • Work with People Ops to ensure a flawless onboarding experience for new team members
  • Manage office floor plans and update as needed
  • Manage ID collections re: new hires and offboarded employees
  • Identify facilities issues and concerns and coordinate with vendors, contractors and/or building management to address in a timely manner.
  • Prepare conference rooms for guests (offer beverages, check-ins, etc)
  • Manage various vendor relationships to keep the office and kitchen fully stocked and running smoothly
  • Ensure the office is operational, presentable, and well-maintained
  • Assist in activities and culture building supporting our values
  • Proactively develop relationships with key internal partners, gaining recognition as a team resource and go-to person for office related questions
  • Support ideating & coordinating decor that would enhance office aesthetics or efficiencies
  • Maintain an office environment that reinforces our values/culture and maximizes performance and fun for team members
  • Schedule periodic and preventative maintenance; conduct emergency troubleshooting and ensure maintenance support availability
  • Administer fire safety, health, and security protocols for HQ and international offices
  • Coordinate all space planning activities including, but not limited to; construction, signage, furniture orders and delivery, and upgrades/repairs to all offices and emergency space needs.
  • You will also prepare us for growth (assist with conducting real estate searches for new offices) and plan for space to accommodate growth.
  • Manage and report on office spend, forecasting, and budgets based on estimated growth and facility needs.
  • Collaborate and partner with our co-working office/WeWork arrangements
  • Demonstrates a high proficiency and understanding of systems such as HVAC, plumbing, electrical, mechanical, and code compliance


Requirements:

  • You are experienced: You have managed workspace operations for a fast-growing company, ideally a start-up. You understand building code and safety best practices and understand the impact workspace has on improving and optimizing a company operation, performance and culture.
  • You are a skilled project manager: You are organized and comfortable prioritizing and handling multiple projects and processes at a time.
  • You are a proactive team player: You see around corners where others don’t, and preemptively make moves to unblock barriers so that the company and teams are always moving forward quickly.
  • You have a way with words: You are a great communicator with experience collaborating and communicating cross-functionally with executive leadership and other internal teams.
  • You are scrappy and creative: You identify innovative solutions which offer flexibility to accommodate a fast-growing team in an ever-evolving environment.
  • Excellent time management: problem management, and problem-solving skills
  • You Build Strong Relationships: You excel at building and maintaining relationships with management, vendors, and other external resources
  • Physical requirements include: the ability to lift up to 40lbs unassisted or assisted occasionally, stand, sit and walk for prolonged periods of time, climb, crouch, reach bend at the waist
