ESSENTIAL DUTIES & RESPONSIBILITIES:
- Responsible for the integrity and processing of weekly/bi-weekly payroll cycles for the hourly and salaried employees.
- Oversee salary bi-weekly payroll cycle and verify all updates including salary changes, retro pay calculations, etc., are accurate and reflected in the internal human resource/payroll system.
- Monitor and track employees that are enrolled in special pension plans including International Retirement Plan, non-qualified, excess contributions, etc.
- Balance the salaried employee payroll registers to ensure taxable wages calculate properly and are accurately reflected on payroll checks.
- Coordinate month-end accrual process and year-end W-2 distribution to ensure all U.S. locations are functioning in a consistent manner.
- Manage workflow to ensure all payroll transactions are processed accurately and timely
- Audit and Reconcile payroll prior to transmission and validate confirmed reports
- Understand proper tax treatment and processing requirements for wages and employer paid benefits
- Ensure the proper garnishment calculations and compliance
- Provide and document any necessary approvals prior to processing any off-cycle payments
- Ensures the processing of accurate and timely year-end reporting
- Work with accounting team to calculate and update any accruals for non-standard payments
- Update and reconcile statements from UKG PRO
- Develop ad hoc financial and operational reporting as needed
- Monitors changes and remains current on legal, regulatory or governmental requirements (e.g., wage and hour, garnishments, tax matters, Pension and other benefit deductions)
- Oversees the preparation of required reports or payments to government agencies, pension provider, or other organizations.
- Oversees the payroll processing activities for the US payroll department, which includes work allocation, problem resolution and training
- Manage, train, complete employee performance appraisals and handle all personnel issues for payroll staff. Control workflow to accomplish assigned tasks.
- Responsible for proper filing of federal, state and local payroll and company reports. Investigate inquiries from outside agencies as needed.
- Key contact relating to policies, procedures and troubleshooting for Benefits & Payroll personnel from all locations (hourly & salary).
- Establish, update and ensure compliance with federally mandated standards relating to benefit plans and deductions, benefit rates and tax tables and limits on the human resource/payroll system.
- Other projects/duties as assigned or needed.
SUPERVISORY RESPONSIBILITIES:
- Payroll staff including exempt and non-exempt employees (3 direct reports).
MINIMUM QUALIFICATIONS:
Required Education, Knowledge, Skills & Abilities:
- Bachelor's degree in finance/accounting or business or equivalent combination of training and experience. Knowledge of benefit policies, practices and applicable laws required.
- Knowledge of labor laws pertaining to payroll is required.
- UKG Pro Payroll and UKG Workforce Management Timekeeping.
- Strong analytical and decision-making skills and attention to detail.
- Demonstrated effective interpersonal, written, and verbal communication skills.
- Demonstrated ability to plan and coordinate multiple projects/work initiatives at one time, adapt to changes and consistently meet deadlines.
Required Length & Type of Experience:
- Minimum of 8 years experience calculating and processing in-house payroll
- Minimum of 4 years supervisory experience.
- Experience with federal, state and city payroll taxes required.
- Prior experience with HR/Payroll ERP, time and general ledger systems required
- Skilled in the use of Microsoft Office Suite including Word, PowerPoint, Excel and Outlook, and willingness to experiment and work with new technologies
- Excellent written and oral communication skills
