As a Payroll Specialist, you'll help ensure GitLab team members are paid accurately and on time by managing the details behind our payroll operations. You'll be a key point of contact for questions across all levels of the company, using tools like Workday, ADP, and ServiceNow to research and resolve issues, maintain precise payroll records, and support critical processes such as year-end tax forms, garnishments, and employment verifications. In this role, you'll collaborate closely with HR, Legal, Finance, and Operations, contribute to process improvements in a global, all-remote environment, and play a direct part in creating a reliable, transparent payroll experience that supports GitLab's results-driven culture.
What You’ll Do
- Support accurate, timely payroll processing through data entry, review, and maintenance of payroll records in systems such as Workday and ADP.
- Review, research, and respond to payroll inquiries from team members at all levels via ServiceNow, ensuring clear, customer-focused communication.
- Deliver instruction and basic training to team members on payroll tools and processes, including time tracking, pay statement access, and related self-service features.
- Maintain, update, and audit payroll data with a high level of accuracy, including handling clerical tasks like filing, scanning, and organizing both digital and paper records.
- Manage the garnishment process in partnership with ADP, including uploading orders, monitoring SmartCompliance workflows, and ensuring proper documentation.
- Assist with year-end activities such as W2 processing and resolve W2-related questions from team members and external agencies.
- Create, prepare, and run standard and custom payroll reports from Workday, ADP, and other sources, and distribute or store them according to internal guidelines.
- Collaborate with HR, Legal, Finance, and Operations on payroll-related tasks and projects, supporting compliance, audits, and continuous improvement of payroll processes.
What You’ll Bring
- Experience supporting payroll operations with a focus on accurate data entry, record maintenance, and clerical tasks such as filing, scanning, and document management.
- Proficiency with spreadsheets and word processing tools (for example, intermediate skills in Excel and Word or similar tools like Google Sheets and Google Docs).
- Familiarity with payroll and HR systems such as Workday, ADP, or similar platforms, with the ability to quickly learn new software and tools.
- Ability to provide clear, service-oriented support to team members and external partners, including handling inquiries related to pay, W2s, and employment verifications.
- Organized approach to managing multiple tasks and deadlines while maintaining high attention to detail and data accuracy.
- Effective verbal and written communication skills to collaborate with HR, Legal, Finance, Operations, and vendors.
- Demonstrated accountability, adaptability, and teamwork, with a focus on delivering thorough and reliable work.
