Join the Glowbar Team:

Glowbar is reinventing the facial with custom, 30-minute treatments led by expert estheticians, designed to deliver results. Since launching in NYC in 2019, we’ve grown fast, with locations across the Northeast and more on the way.

The People Operations Coordinator keeps the engine of our Talent and Culture team running. You’re the person studio teams count on to get it right - every question answered, every system change made, every referral bonus paid accurately and on time. When the details are handled, our studio teams can stay focused on helping clients feel confident in their skin. If you love being the organized, reliable, detail-obsessed partner behind a great team member experience, this is your role.

What You’ll Do:

You’ll be the operational backbone of the Talent and Culture team, partnering with team members across our studios. Every day, you’ll:

  • Own the inbox as the first point of contact for our studio teams - triaging questions on pay, policies, systems, and paperwork, resolving what you can quickly, and routing the rest to the right partner
  • Keep our HRIS accurate by processing team member changes in ADP, including new hires, promotions, transfers, pay rate updates, status changes, and terminations, and managing user access in our systems as team members join and leave
  • Support onboarding and offboarding administration in partnership with Talent Acquisition including new hire paperwork, I-9 and compliance documents, system setup, exit documentation, and fi nal pay coordination
  • Support leave administration in partnership with the HRBP, including tracking leaves of absence, processing leave paperwork and status changes in ADP, and coordinating with carriers and state leave programs
  • Administer benefits day to day, including new hire enrollment and eligibility, qualifying life events, COBRA notices, and coordination with our benefits brokers/carriers
  • Handle routine employment requests such as employment and income verifi cations, unemployment claim responses, and wage garnishments, accurately and on time
  • Track bonuses from referrals through eligibility to payout, so every team member who brings great people to Glowbar gets paid correctly and on time
  • Support state payroll tax and unemployment registrations as Glowbar expands into new markets
  • Maintain organized, audit-ready team member fi les, keep labor law postings current in every studio, and track handbook and policy acknowledgments
  • Pull reports and data to support the Talent and Culture team as well as other cross-functional departments
  • Turn repeat questions into resources by building and updating SOPs, templates, and FAQs that help studio teams self-serve

Who We’re Looking For:

  • 1–3 years of experience in HR, People Operations, payroll, or administrative support
  • Hands-on HRIS experience (ADP preferred); experience with multi-state payroll and benefits administration is a strong plus
  • A detail-obsessed approach - you double-check the numbers because you know it matters to people
  • Strong organization and follow-through, with the ability to keep a busy inbox moving and prioritize what’s urgent
  • Sound judgment and discretion with confidential information
  • Clear, warm communication skills, especially in writing
  • Enthusiasm for beauty, skincare, and a fast-paced, service-driven environment

Your Glow Package (Compensation & Benefits):

  • Annual compensation increase eligibility
  • Annual bonus potential tied to company EBITDA performance
  • Medical, dental, and vision insurance largely covered by Glowbar
  • Unlimited paid time off and sick leave
  • 6 paid holidays
  • DailyPay — access part of your paycheck before payday at no cost
  • Disability, accident, critical illness, and life insurance coverage
  • Employee Assistance Program (EAP) with free mental wellness support
  • Commuter benefits to help save on transit and parking
  • Free annual Glowbar membership ($900 value) and two annual guest passes ($190 value)
  • 30% employee discount off skincare products
  • $150 employee referral bonuses for bringing great people to the team
  • $15 product credit for every first-time client you refer

Working Conditions:

This is a fast-paced, primarily desk-based role. You should be comfortable with:

  • Extended periods of computer work and managing a high volume of email and system tasks
  • Occasional local travel to studios for team support and onboarding
  • Handling confidential information with care and discretion
