Responsible to assist the procurement team with administrative duties and coordination of operational activities, such as Purchase Orders (PO) creation/processing, managing contract and vendors information and insurance documentation, Vendor Onboarding, and other duties as assigned.Job Description
Essential Responsibilities:
- Tracking and compiling contract documentation, routing for signature, keeping current the contract summary
- Scheduling Quarterly Business Review (QBR) meeting with vendors
- Coordinate and manage the transition of suppliers to the C&W system
- Includes tracking the status of each supplier for the several stages required to properly vet the suppliers and input them into the system
- Assist with requests for information, quotations, and proposals
- Keeping track of vendors information and certificate of insurance (COI), managing its up-to-date status, and maintaining its filing in the procurement team’s shared folder
- Other administrative duties as assigned
Key Competencies:
- Detail oriented with excellent analytical, research, and organizational skills
- Proven record of providing excellent internal and external customer service
- Excellent interpersonal skills
- Excellent oral and written communication skills
- Knowledge of insurance language and of sourcing suppliers is a plus
- Ability to influence the outcome of receipt of acceptable and timely documents
- Capable of performing in a fast paced environment with measurable results
- Accountability for work performed
Education:
- Bachelor’s degree in business or related field is required
Important Experience:
- Previous experience as facilities coordinator is a plus
- Proficiency with Google Docs/Sheets/Slides and Microsoft Office Suite (Excel, Word,
- PowerPoint). Intermediate Excel skills required.
- Experience tracking data in an Excel spreadsheet
- Technical knowledge of 360 Facilities Management is a plus
WORK ENVIRONMENT
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Regularly required to travel outside between properties in varying weather conditions.
PHYSICAL DEMANDS
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee may need to travel from floor to floor, climb stairs, and may be required to travel outside between buildings in varying outdoor weather conditions. The employee may also be regularly required to remain in a stationary position (sit or stand) for 85% of the time; regularly use hands to operate office machinery and regularly required to walk, talk, and hear.
