Major League Baseball (MLB) is seeking a highly organized Project Coordinator to join its Business Ops & Logistics Team. This role serves as a critical bridge between business strategy and technical execution, driving efficiencies across infrastructure projects that power MLB’s video distribution, replay systems, and ballpark technology.

The successful candidate will be responsible for building and implementing project management workflows, managing procurement lifecycles, and ensuring that complex technology projects move from idea to execution on time and within budget. We are looking for a strategic thinker with a roll-up-your-sleeves approach who can navigate the fast-paced landscape of live sports media and technical infrastructure.

Responsibilities

Procurement & Financial Logistics

  • End-to-End Procurement: Maintain all processes related to procurement requests, including confirming requirements, obtaining vendor quotes, and mapping costs to allocated budgets
  • Financial Tracking: Provide operational support for YTD cost trackers and Purchase Order (PO) systems; liaise with MLB Accounts Payable to ensure timely invoice processing and vendor payments
  • Budget Reconciliation: Work closely with Technology Infrastructure leaders and MLB Finance to reconcile departmental budgets and ensure financial accuracy
  • Bill of Materials (BOM): Create and manage BOMs for Media Operations and Ballpark infrastructure projects to ensure hardware requirements from project kickoffs

Project Coordination & Workflow Management

  • Project Lifecycles: Track task completion and project timelines for Media Operations-based initiatives
  • Documentation & SOPs: Create and maintain accurate project documentation, including operational procedures for the Media Operations team
  • Communications: Plan and manage both internal and external communications ensuring alignment between MLB partners, internal engineering leads, and third-party vendors
  • Meeting Management: Attend planning sessions; capture and distribute high-quality notes, follow-up items, and actionable tasks to keep teams on schedule

Operational Strategy & Risk

  • Risk Mitigation: Identify, prioritize, and communicate project risks to leadership before they impact delivery
  • Logistical Strategy: Assist with feasibility studies, inventory management approaches, and global deployment/shipment strategies for technical hardware
  • Vendor Relations: Work with MLB Legal to maintain Service Level Agreements (SLAs) for hardware and services critical to operational support
  • Data Reporting: Monitor ServiceNow dashboards to track incidents and create weekly status reports regarding system health and operational readiness

Qualifications & Skills 

  • Education: Bachelor’s degree required
  • Technical Skills: Advanced proficiency in Excel and experience with collaboration tools (e.g., Asana, Google Workspace, Confluence, Jira, or ServiceNow).
  • Logistics Mindset: Demonstrated ability to manage complex procurement processes and reconcile budgets.
  • Organization: Exceptional organizational skills with the ability to manage multiple high-priority projects in a fast-paced environment.
  • Communication: Strong verbal and written communication skills; ability to distill complex technical updates into clear business reports.
  • Industry Knowledge: A basic understanding of MLB operations and the 30 Clubs is a plus.
  • Flexibility: While primarily a business operations role, the candidate should have the flexibility to adapt to live event schedules and infrastructure-focused deadlines as needed

Salary Range: $27.00 - $33.00 per hour

The actual offer will carefully consider a wide range of factors, including your work experience, education, skills, and any other factors MLB considers relevant to the hiring decision.
