We are seeking a highly organized and tech-savvy Project Coordinator, Systems & Operations to support website content management, internal platforms, awards coordination, and AI-driven initiatives across the organization. This role is ideal for someone who thrives in a fast-paced environment, enjoys cross-functional collaboration, and is passionate about improving systems and processes.

Key Responsibilities

  • Manage and maintain digital content across the company website and the agency’s internal sharepoint platform, ensuring information is accurate, current, organized, and aligned with brand standards

  • Partner with internal stakeholders across the organization to implement website updates, content enhancements, and platform improvements while helping drive accountability around timelines and deliverables

  • Monitor website and platform performance, identify opportunities to improve usability and engagement, and support ongoing optimization efforts

  • Coordinate the end-to-end external awards submission process by tracking deadlines, gathering materials, coordinating submissions utilizing various entry portals, and maintaining organized records of outcomes and entries

  • Act as an AI-forward team member by exploring opportunities to integrate AI into workflows, supporting the creation and maintenance of custom GPTs and related tools, and identifying ways to improve efficiency, knowledge sharing, and employee experience through innovation

  • Collaborate across global teams and manage multiple priorities in a fast-paced environment while maintaining strong attention to detail and organization

Qualifications

  • Minimum of 2 years of relevant experience in operations, project coordination, or a similar role

  • Strong organizational skills with the ability to manage multiple priorities and deadlines

  • Experience with website content management systems and/or SharePoint

  • Ability to demonstrate strong project management and coordination skills

  • Curiosity and enthusiasm for AI tools and digital innovation

  • Strong communication skills and ability to collaborate across global teams

  • Detail-oriented with a proactive, problem-solving mindset

  • Comfortable working independently while managing multiple stakeholders

  • Demonstrate a high degree of autonomy by proactively identifying opportunities, generating innovative ideas, and independently driving initiatives forward

The anticipated salary range for this position, at the time of posting, is $55,000 - $75,000. The salary of the applicant selected for this role will be based on a variety of factors, including but not limited to, education, internal equity, geography, relevant years of experience, certifications, skills, abilities of the selected applicant, and other job-related qualifications. In addition, a range of medical, dental, vision, disability, 401(k) matching, paid time off, and/or other benefits also are available by the company.
