The Project Coordinator will play an integral role in achieving COD of our projects. The right candidate will be willing to roll their sleeves up to tackle multiple problems, collaborate with others, while supporting projects from the development and engineering phases, through the construction phase, through to the commissioning phase to ensure that safety, quality, schedule, and cost objectives are achieved.
Title: Project Coordinator
Reports To: Director, Project Management
Location: New York City preferred. Remote locations, with a preference for the Northeast, are permissible provided the candidate can travel up to 50% of the time.
Description: Coordinating the planning, execution, and delivery of grid-scale standalone energy storage projects in target markets. Responsible for supporting the Flatiron operations function as well as coordination with other Flatiron functions and a multitude of subcontractors and consultants.
Key Responsibilities:
Project Administration & Coordination
- Coordinate project management activities across, engineering, procurement, construction, and commissioning phases and interfacing with development and finance.
- Support the maintenance of project schedules, budgets, and documentation using project management software
- Own and organize project meetings, determine agenda topics, and distribute, track and close action items
- Track project milestones, deliverables, and critical path activities
- Support communication between internal teams, contractors, utilities, and external stakeholders
Documentation & Compliance
- Track and manage project documentation including contracts, permits, interconnection agreements, and technical specifications
- Ensure compliance with regulatory requirements, safety standards, and company policies
- Maintain project records and technical documents
- Prepare status reports, presentations, and dashboards for management and stakeholders
- Track and manage project change orders and contract amendments
Procurement & Vendor Coordination
- Support procurement activities including RFP/RFQ processes and vendor evaluations
- Support coordination with equipment suppliers and contractors on delivery schedules and site logistics
- Track equipment specifications, certifications, and warranty information
- Assist with contract administration and invoice processing
Site Development Support
- Support site visits, inspections, and construction activities
- Track construction progress and maintain photo documentation
- Support building permitting processes and stakeholder engagement activities for construction and operations
- Assist with environmental and safety compliance monitoring
- Manage and track project ITC compliance, including but not limited to Prevailing Wage & Apprenticeship and Domestic Content requirements
- Manage and track project agreement compliance, including but not limited to Host Community Agreements, project permits, and other community agreements
Key Qualifications:
- Bachelor’s degree in construction management, construction, engineering, or a related field from an accredited university or college.
- (2) to (4) years of experience related to the construction and delivery of energy infrastructure, ideally focused on battery energy storage and/or high voltage substations.
- Preference for experience coordinating contractors on large infrastructure projects including experience integrating low/medium/high voltage systems, protection & SCADA, civil, structural, mechanical, architectural, and fire protection consultants.
- Preference for experience developing, executing, and managing construction deliverables including schedules, budgets, QA/QC procedures, safety reports, and other reporting requirements.
- Preference for knowledge of relevant industry codes and standards (e.g., IEEE, NFPA, ANSI, UL, etc.)
- Preference for strong understanding of electrical systems, equipment, and regulatory requirements.
- Understanding of project management methodologies and best practices
- Proficiency with Microsoft Project and other project management software and tools.
- Superior verbal and written communication with a high-level of attention to detail, along with strong problem-solving skills, resourcefulness, and creativity.
- Ability to adapt to changing priorities, work scopes, and deadlines in a fast pace and dynamic environment
- Ability to support multiple projects and tasks simultaneously
- Excellent communication, organizational, and interpersonal skills.
