Provide front-desk and clerical support for a medical office: manage patient records and scheduling via electronic practice-management software, answer and route calls, register/check-in patients, verify insurance, assist with forms, confirm appointments, maintain patient confidentiality, and perform related administrative duties.
Job Summary:
Responsible for clerical/office tasks to support the day-to-day operations of a medical office either remotely or in person as needed. Using software (an electronic system) that incorporates practice management functionality i.e., managing patient information, medical records, and other clinician data as well as a phone system.
Duties and Responsibilities:
- Always maintain confidentiality of patient information.
- Greetings to patients and visitors in person or by telephone in a positive and helpful manner.
- Confirms and schedules appointments with both existing and new patients over the phone or in person.
- Registers and follows check-in process for new and existing patients using a software scheduling system of the company’s choice.
- Assists patients with completion of forms (e.g., welcome sheet).
- Verifies insurances and charges self-pay patients.
- Keeps patient appointments on schedule by notifying staff of patient’s arrival.
- Listen to and return voice mails to assist patients with what they need using a phone system of the company’s choice.
- Assists in the confirmation of patient appointments at least 24 hrs. in advance.
- Directs calls and visitors to the appropriate individual or department following the accepted protocol.
- Complies with applicable policies and procedures and supports the Compliance Program.
- Contributes to organizational operations by performing other duties as may be required.

- Ability to adapt to new electronic software systems.
- Ability to manage heavy phone /patient traffic while maintaining courteous and professional demeanor.

- Hearing. Perceiving the nature of sounds at normal speaking levels with or without correction. Ability to receive detailed information through oral communication.
- Repetitive motion. Substantial movements (motions) of the wrists, hands, and/or fingers.
- Sedentary work. Exerting up to ten pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting. Jobs are sedentary if walking and standing are necessary only occasionally and all other sedentary criteria are met.
