The Recruiting Operations Coordinator supports recruiting processes, manages tools, creates reports, troubleshoot issues, and drives operational projects with the recruiting team.
About the Position
We're looking for a Recruiting Operations Coordinator to help keep our recruiting systems running smoothly, build new tools, support our team with data and reporting, and drive operational projects forward. You'll work closely with recruiters and hiring managers across the firm, serving as a key point of contact for day-to-day recruiting operations needs.
Additional responsibilities of this role will include:
- Serving as a first responder for recruiting tools and systems, fielding questions, troubleshooting issues, and escalating as needed
- Monitoring and maintaining automated jobs, reports, and data flows, and overseeing recurring processes like reimbursements and referral tracking
- Documenting workflows and processes and keeping documentation current as things change
- Keeping Jira tickets organized and moving, triaging incoming requests, following up on open items, and making sure nothing falls through the cracks
- Helping drive smaller projects from start to finish and supporting larger initiatives led by other team members
- Building and maintaining reports in Google Sheets and a variety of reporting tools
- Helping ensure data integrity across systems and surfacing trends or anomalies to the team
- Working with recruiters to identify friction points and propose improvements
- Liaising with internal teams on bugs, feature requests, and prioritization
- Have 1-3 years of experience in recruiting coordination, recruiting operations, or a similar operational role
- Organized and detail-oriented; able to juggle many tasks and keep track of open threads
- Comfortable working with data; you can build reports, navigate spreadsheets, and work with structured data across systems
- A resourceful problem-solver who notices when something is off, takes initiative, and can figure things out independently
- An effective communicator who can work across teams and respond to a range of stakeholders clearly and promptly
- Comfortable in a fast-paced environment with frequent context-switching
- Have some technical comfort; not necessarily a coder, but not intimidated by things like reading logs, working with config files, or picking up internal tooling
- Having experience with tools like Greenhouse, Workday Recruiting, Gem, Jira, or Tableau is a plus
- Comfortable using AI tools (e.g., ChatGPT) to work more efficiently
- Having familiarity with recruiting terminology and metrics is helpful but not required
