About The Role:

We are looking for a highly organized and proactive Resourcing Coordinator to help manage freelance resources and coordination with 3rd party staffing agencies. You will help ensure smooth resource tracking and help maintain accurate documentation. You will help with the invoicing process, support relationship management with external vendors, and provide administrative support to the resourcing team and senior leadership to help guide daily operational efficiency.

This is a remote role reporting to the Vice President, Resource Management.

You Will:

  • Invoicing and Financial Coordination:
    • Oversee the invoicing process for freelance resources, ensuring accurate billing and timely payment.
    • Collaborate with the finance team to help reconcile invoices, track budgets, and ensure cost allocation.
    • Maintain records of freelancer and agency contracts, rates, and payment terms.
    • Help prepare financial summaries and trackers related to freelance costs.
  • Organizational Excellence and Reporting:
    • Keep accurate and organized records of freelance resources, contracts, and project updates.
    • Create and maintain reports on resource performance, costs, and utilization for regular review by leadership.
    • Stay organized in managing multiple competing priorities while meeting deadlines.
  • Freelance Resource Management:
    • Support the recruitment and onboarding process of freelance talent by coordinating schedules, collecting documentation, and assisting with communications.
    • Monitor freelance performance, ensuring that deliverables are met within scope, quality, and timelines.
    • Maintain a pipeline of experienced freelance professionals to address immediate and future resource needs.
  • Vendor and Staffing Agency Collaboration:
    • Help maintain relationships with 3rd party staffing agencies through regular communication and coordination.
    • Support the resourcing team by helping gather information for contract discussions and tracking documentation related to staffing agency agreements.
    • Evaluate staffing agencies, ensuring they meet company standards and align with business needs.
    • Work with external agencies to ensure timely and accurate fulfillment of staffing requirements.
  • Continuous Improvement:
    • Identify opportunities to improve daily workflows and suggest ways to make processes more efficient.
    • Stay current on industry trends, tools, and platforms related to freelance management and staffing agencies.
    • Advocate for best practices in resource management across the organization.

You Will Bring:

  • Experience in resourcing, coordination, HR, administrative support or similar area of focus.
  • A focus on accuracy in invoicing, contract management, and reporting.
  • Strong organizational and time management skills; ability to support multiple projects and freelancers at once.
  • Comfortable with resource management tools, Microsoft Excel, Microsoft Office Suite, and invoicing software.
  • Skills to interact with internal teams and external vendors.
  • Bachelor's degree in Business, Human Resources, Operations, or a related field.

The base salary range represents the low and high end of the salary range for this position. This range may differ based on your experience and skill set, geographic location, and cost of living considerations.
