Job DescriptionCreates and maintains an atmosphere to ensure all guests and clients of MedImpact and affiliated companies are greeted and welcomed with the highest degree of friendliness and professionalism. Supports all local site-specific initiatives for operational effectiveness and efficiencies. Operates multiline telephone system to answer incoming calls and directs callers to appropriate resources by performing the following duties:
Essential Duties and Responsibilities include the following. Other duties may be assigned.
- Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel. Greet guests, clients, vendors, and employees in a professional, friendly, and hospitable manner;
- Sign in all visitors and create security badges;
- Ensure the reception area remains clean and orderly at all times;
- Open and close visitor area (locking drawers, turning off lights, etc.);
- Accepts deliveries such as packages, letters, flowers, etc.
- Accepts, sorts, distributes, collects and sends mail and packages via US Mail, expedited delivery services (FedEx), and courier services; Prepares monthly expense tracking report.
- Escorts vendors and guests, as needed or required.
- Coordinates catering services to include placing food orders for client site visits, meetings, training classes, and special events. Ensures timely setup, breakdown and cleanup of conference rooms and multi-purpose rooms for meetings and catered events.
- Inspects conference, meeting and project rooms on a regular basis to ensure that they remain in a clean and orderly condition with the appropriate number of chairs, are stocked with standard supplies, and that equipment is in working condition;
- Coordinates the shredding of confidential documents by outside vendor;
- Coordinates local Company initiatives such as client events.
- Manages and coordinates the timely repair and maintenance of office furniture and equipment to include vending machines, water filtration and heating systems, kitchen appliances, ice machines, vendor coffee brewers, office furniture, chairs, cubicle partitions and file cabinets;
- Assists Corporate Facilities Manager with external vendor management, including new vendor paperwork, obtaining certificates of insurance, submitting purchase order requests, obtaining signed work orders, and coordinating appointments and access to the facility;
- Completes Facilities purchase requisitions, tracks purchase orders through to closeout, processes invoices, and reconciles invoices against original purchase order amounts; and,
- Coordinates local NRO, prepares new hire folders, and verifies new hire paperwork.
- Maintains supplies, materials, postage, and other office needs.
- Generates nameplates, updates and maintains cubicle list;
- Maintains key list and key box;
- Coordinates with Corporate Facilities to facilitate building updates/needs;
- Coordinates with Corporate Human Resources team for onboarding any new hires at NEO.
- Performs other clerical duties and special projects as assigned.

Education and/or Experience
GED/HS Diploma and 2+ years’ experience or equivalent combination of education and experience

To perform this job successfully, an individual should have knowledge of Microsoft Office Suite, Microsoft Outlook Word Processing software, and Microsoft Excel.

Work Location
This position must work on-site at the Northeastern Regional Office (NRO) for purposes of providing adequate support to internal clients; being available for face-to-face interactions and coordination of work with other employees, colleagues, clients, or vendors; as well as for facilitation of quick and effective decisions through collaboration with stakeholders. Remote work is not an option for these purposes.
Working Hours
This is a full-time non-exempt position requiring one to be able to work overtime from time to time in order to get the job done. Therefore, one must have the ability to work nights, weekends or on holidays as required. This may be changed at any time to meet the needs of the business. The typical working hours for this position are Monday through Friday from 8:00am to 5:00pm.
