We are seeking a highly motivated and talented Speaker Bureau Manager to join our dynamic team. This individual will be instrumental in overseeing the day-to-day operations of client speaker bureaus and assisting the Director as a key liaison between the client and our team to provide vital reports, updates, and metrics.


The ideal candidate will help mentor speaker bureau coordinators with coaching and best practices while managing all aspects of meeting logistics related to the medical and pharmaceutical industry.


Key Responsibilities

•    Team Operations & Monitoring: Monitor program workloads of Speaker Bureau Coordinators, perform weekly program audits, and manage attendance, time sheets, and time-off requests.
•    Team Mentorship: Hold weekly team updates to address questions, concerns, and workload; provide ongoing coaching, assistance, and guidance to team members.
•    Client & Stakeholder Liaison: Set up weekly status calls with clients, create tailored agendas, and run reports for clients and supervisors on a weekly or as-needed basis.
•    Issue Resolution: Troubleshoot operational issues that arise with field sales, sales management, and other client members regarding the speaker portal and day-to-day bureau operations.
•    Compliance & Logistics Management: Ensure strict adherence to state and federal compliance guidelines while overseeing speaker contracting, financial budgeting, and reconciliation.
•    Administrative Leadership: Administer performance reviews, assist with the hiring and training of new coordinators, and manage/participate in the after-hours phone support rotation.

What You'll Bring: Required Qualifications
•    Education: Bachelor’s degree preferred.
•    Experience: Demonstrated experience in all aspects of meeting management as related to the medical/pharmaceutical industry (including site selection, restaurant contracts, F&B details, travel, destination services, database management, budgeting, and reconciliation).
•    Demonstrated understanding of medical/pharmaceutical industry meeting management and logistical standards.
•    Deep familiarity with state and federal compliance guidelines relevant to speaker bureaus and healthcare provider (HCP) interactions.
•    Exceptional organizational, communication, and multitasking skills with the ability to handle multiple projects simultaneously.
•    Strong leadership and people management capabilities to effectively supervise and mentor Direct Reports (Speaker Bureau Coordinators).
•    Proficiency in Microsoft Office Suite (Excel, MS Word, Access) and web navigation.
•    Flexibility to travel and attend meetings onsite if requested by the client.
