Job Description

This role is based in New York, NY

At FAN EXPO HQ, we don’t just host events—we create immersive, fandom-fueled universes.  And our sponsors? They’re the ones who help make the magic even bigger. As our Sponsorship Activation Coordinator, you’ll be the operational powerhouse that helps turn bold brand visions into real-life experiences. From eye-catching booths to unforgettable on-site activations, you’ll work across teams and timelines to bring partnerships to life—seamlessly and strategically.

What You’ll Do

Sponsorship Fulfillment

  • Own the logistics behind sponsor activations across our portfolio of events
  • Make sure all sponsorship deliverables are checked off, buttoned up, and on-brand
  • Oversee logo placements, signage, swag, and all things sponsor visibility
  • Track activation progress and report like a pro—because details matter
  • Collaborate on how partner brands show up in every corner of our shows

Event Operations

  • Team up with Marketing, PR, and Operations to execute activations with polish
  • Be boots-on-the-ground on-site to ensure activations go off without a hitch
  • Manage supplies tied to sponsor needs and event execution
  • Assist with staffing for sponsor activations and troubleshoot in real time
  • Coordinate with vendors and suppliers to bring sponsor ideas to life

Relationship Management

  • Be the go-to contact for sponsors you’re assigned—answering questions, solving problems, and keeping them in the loop
  • Provide regular updates and activation reports pre- and post-show
  • Work cross-functionally with internal teams and external partners
  • Support engagement strategies that build trust and long-term sponsor value
  • Help sponsors feel like VIPs (because they are!)

Administrative Support

  • Keep records organized and accurate—we’re talking contracts, calendars, reports, and more
  • Support invoicing, data entry, and event registration processes
  • Maintain sponsor timelines, deliverables, and internal planning calendars
  • Create post-event reports that showcase activation success and sponsor ROI

Qualifications

What You Bring to the Table

Education

  • Degree in Marketing, Business, Events, Communications, Sports Management, or a related field

Experience

  • 1–2 years working in events, sponsorship, partnerships, or client services
  • Familiarity with event tech platforms and tools
  • Bonus points if you’ve worked directly with sponsors or clients

Skills

  • Stellar project management and time management chops
  • Strong communicator—whether it’s emails, calls, or on-the-ground direction
  • Detail-oriented with the ability to multitask without breaking a sweat
  • Tech-savvy with Microsoft Office and event software
  • Quick on your feet and solutions-focused

Working Conditions

  • You’ll need to be flexible—events don’t follow a 9-to-5 schedule
  • Travel is required (bonus: your “office” might include cosplay and comic books)
  • Fast-paced, dynamic, and team-oriented atmosphere
  • Ability to lift up to 25 lbs—especially when setting up on-site

Salary for this position is 55,000 — 60,000 USD and is based in our NYC office.
