Position Details
- Status: Full-time
- Location: Remote position.
- Reports to: Vice Managing Partner, Tax
- Run multiple departmental meetings each week, preparing agendas, taking minutes and coordinating across departments to schedule attendees.
- Maintain department project management documents and tools including weekly agenda and prospective client tracker. Ensure client deliverables are being met based on weekly assignments.
- Manage prospective client pipeline from post-consult to onboarding. Maintain a dialogue regarding prospect’s timeline, run conflict checks, draft and send engagement letters, coordinate with intake and billing departments to ensure proper onboarding.
- Collaborate with the marketing department to assign and track deadlines and deliverables for presentations, conferences, and other events.
- Partner with department co-chairs on long-term projects as firm and tax practice continue to scale.
- Assist multiple attorneys in tax department with miscellaneous administrative tasks regarding ongoing and potential matters.
- Support department’s Executive Administrator to assist as needed with answering phones for department, scheduling internal and client meetings, liaising with other administrators
- Required: Strong written and verbal communications skills, organization and attention to detail a must
- Required: Ability to multitask in a fast-paced environment and use technology/AI tools
- Required: At least 3-5 years of experience in project management, administration, or operations
- Required: Ability to effectively communicate with clients, potential clients, partners, and internal teams, including senior leadership
- Strongly Preferred: Experience using CRMs (HubSpot) and legal software (Clio)
- Preferred: Experience working in professional services industry or other regulated industry such as law, accounting, or finance, Paralegal or legal assistant
- Preferred: Bachelor’s Degree or equivalent
