These efforts include facilitating collaborations between artists and local governments to address civic issues, building capacity for small and mid-sized cultural institutions, and increasing and enhancing visitor engagement through the integration of digital technology. 

The Position:  

Our Arts team is seeking a Team Coordinator to provide support to our global program across administrative tasks, systems and process development, and event management and logistics.   

This is an in-person role based in New York City.  

Responsibilities:  

  • Provide high-level executive administrative support to the Arts team  
  • Manage calendars including scheduling appointments, arranging meetings, preparing materials, tracking and ensuring follow-up from internal and external meetings and events  
  • Coordinate and assist in preparing substantive briefings, presentations, reports and analysis related to the Arts team operations and projects for internal and external audiences  
  • Anticipate needs of the team, proactively ensuring efficient use of time 
  • Provide phone coverage, track messages, and handle follow-up  
  • Handle all travel arrangements and expense reports, including flights, ground transportation, and hotels for Arts team 
  • Provide day-to-day administrative support to the Arts team, including managing a team travel calendar, handling logistics and follow-up for internal team meetings and special events, and preparing for internal meetings with organization leadership  
  • Circulate Arts team inquiries to appropriate team members, responding to internal and external stakeholders professionally and in a timely manner, and ensuring that team leadership is properly informed  
  • Support with data entry, ensure information in systems is up-to-date and organized 

Skills & Educational Requirements:  

  • 2+ years of experience in an administrative or coordinator role in a fast-paced environment  
  • Bachelor's degree  
  • Ability to multitask and to simultaneously provide support to multiple senior leaders  
  • Outstanding interpersonal and communication skills and the demonstrated ability to effectively develop and maintain strong relationships with all levels of staff, clients, and vendors, both verbally and in writing  
  • Demonstrated interest in the arts and culture sector 
  • Excellent written and verbal skills  
  • Resourceful, motivated, efficient, proactive and detail-oriented  
  • Outstanding organizational and time management skills  
  • Proficient in: Outlook, Word, Excel, and PowerPoint

The referenced salary range is based on the Company's good faith belief at the time of posting. Actual compensation may vary based on factors such as geographic location, work experience, market conditions, education/training and skill level.
