The Temporary Scanning Project Assistant will support the Human Resources Department with the digitization and organization of personnel and administrative records. This position is responsible for preparing documents for scanning, scanning paper records into an electronic document management system, indexing files, and ensuring scanned records are complete, accurate, and properly organized.
DUTIES AND RESPONSIBILITIES
• Prepare paper documents for scanning by removing staples, paper clips, and other fasteners.
• Scan paper records and upload electronic files into the designated document management system.
• Verify image quality and ensure all documents are scanned accurately and completely.
• Index and organize scanned documents to ensure easy retrieval and compliance with department standards.
• Review scanned images for accuracy, completeness, and image quality.
• Maintain confidentiality of sensitive employee and organizational information.
• Assist with file organization, quality control reviews, and other project-related tasks as assigned.
• Performs other duties as needed for the scanning project.
EDUCATION AND EXPERIENCE
- High School diploma or equivalent preferred.
- At least one year of clerical or office experience.
- Prior experience with document scanning, records management, or file digitization preferred.
- Experience using Laserfiche or a similar electronic document management system is highly desirable.
- Proficiency with basic computer applications, including Microsoft Office.
REQUIRED SKILLS AND ABILITIES
- Strong attention to detail and organizational skills.
- Ability to handle confidential information with discretion.
- Ability to lift and move file boxes and work with large volumes of paper records.
- Ability to work independently and as part of a team.
- Reliable throughout the project period.
